Purpose of Post The engines of the hospital are the hospitals 8 operating theatres.Here the most serious and complex surgical cases are treated. The role is focused on optimising the utilisation and profitability of available Theatre capacity. The primary goal of this role is to constantly review information and data related to the factors that influence Theatre utilisation. This role will depend on data and so the role will include responsibility for the management of theatre management information, dashboard maintenance and reporting.The role will be required to analyse trends in the cost, revenue and utilisation impact of day to day list and add-on changes and make recommendations as appropriate. Tracking theatre and utilisation This is a planning and forecasting role where pro-action, foresight, using your initiative and follow-up are essential to success. This role must also work at identifying and helping to continually improve the processes that impact Theatre utilisation and efficiency Continue to revise and improve the Theatre Dashboard and reporting suite in consultation with IT Team and Operations Team. Identify opportunities to improve Theatre management practice and processes in order to optimise Theatre Capacity safely. Duties & Responsibilities Review Theatre slots in advance to identify potential gaps in the schedule to improve allocations of cancelled slots. Liaise with theatre secretaries & central booking office to ensure theatre slots are filled. Management of unallocated slots. Identify and advertise available sessions when required (medium & short term). Data analysis including demand and capacity analysis. Weekly reporting: Theatre Utilisation, slot cancellations, late start and finish time, cases breakdown (specialty), ad hoc slots taken. Review list the day before surgery (or earlier if possible) to identify potential issues that could impact a patients smooth pathway to theatre. Take the issues in theatre lists that have been located in advance to the relevant touch-points to discuss and find resolutions prior to the day of surgery. This role will not be responsible for day to day tactical decisions related to management of lists and add-ons. This will continue to be the responsibility of the Theatre Manager and Clinical Coordinators. The role will though be required to analyse trends in the cost, revenue and utilisation impact of day to day list and add-on changes and make recommendations as appropriate. Carry out any other duty that may be assigned from time to time. Continuous improvement: Identify opportunities to improve Theatre management practice and processes in order to optimise Theatre Capacity safely. Continue to revise and improve Theatre Dashboard and reporting in consultation with IT Team, COO Teamand Theatre Manager. Professional qualifications, essential skills and knowledge. Bachelor degree in business or equivalent relevant qualification Sound knowledge, awareness and experience of administration. Excellent communication skills. Experience liaising with all levels of staff up to C-suite. Computer literate, excellent knowledge of Microsoft Excel, Word and PowerPoint. Discrete.Aware of data privacy regulations. Proactive and uses their initiative to overcome issues and solve problems. Aware of Lean principles and is a change agent; able to identify changes necessary to improve the way people work and implement them. Attention to detail is essential. Ability to learn quickly.
