Closing date for applications: 30th June 2024 About the post: We are looking for a highly motivated individual for the role of Operations Assistant within our Operations Team. The successful candidate will work within the expanding School of Nursing & Midwifery managing the student journey from application to graduation and beyond along with ad-hoc projects and events that take place within the School. Job Responsibilities • This role entails end to end student journey management from initial point of contact to graduations and alumni assistance, the successful candidate will;• Coordinate the logistical and operational support for multiple programmes• Managing and developing advertising material for courses• Managing programme applications and student admissions including verifying professional & education qualifications• Managing and hosting registration and induction events for new students.• Managing online assessment submissions, written examinations, various other forms of assessments and collating and delivering student results.• Work closely with the Student Fees office to ensure timely fee payments and the management of students in arrears.• Management of Virtual Learning Environments (Moodle), including module and user management• Manage student progression through the Schools student management system• Develop regular reports for internal and external key stakeholders and partners• Development of examination boards and student transcripts• Work closely with Programme directors to ensure External Examiners receive student data and reports as required• Supporting programme directors with timetabling needs and booking of rooms• Assist in the running of the annual Graduation ceremony, including inviting students, ordering parchments and event management on the day.• Assist in the management of the School’s alumni database and alumni communication strategy• To manage ad-hoc events which take place in the School including but not limited to; master-classes, open evenings and guest lectures• Ensure all media meets RCSI branding guidelines• Assist in actively marketing the School to the target audience• Assist and develop online media management and online presence• Undergoing programmes of training and development as may be required from time to time • Performing such other duties as may be required from time to time Knowledge & Experience – ( Essential): • Strong organisational and administrative skills with the ability to focus on and produce results and prioritise objectives• An effective communication style appropriate to audience and situation• Strong results focus combined with excellent attention to detail• Excellent customer service capabilities• Strong, practical and adaptable IT skills• Advanced MS Excel, Word and PowerPoint knowledge• Flexibility to work in a changing environment• The ability to work on their own initiative as well as in a team environment We are all too aware that imposter syndrome and the confidence gap can sometimes stop fantastic candidates putting themselves forward, so please do submit an application — we’d love to hear from you.
