Job Description
We are looking for a hands-on Facility Supervisor to manage the day-to-day operations, maintenance and logistics at our Dublin office. This role offers a consistent schedule of 30 hours per week, Monday to Friday, 9:00am to 4:00pm.
It combines facilities upkeep with shipping and receiving duties, ensuring efficient operations and compliance with health and safety standards.
Key Responsibilities:
Facilities Maintenance & Management:
* Perform and coordinate routine maintenance and repairs on HVAC, electrical, plumbing and safety systems.
* Schedule preventative maintenance to minimise downtime and extend equipment lifespan.
* Liase with vendors for specialised maintenance, while keeping the facilities clean, safe and regulatory-compliant.
* Maintain inventory of supplies and assist in facility improvement and sustainability projects.
* Sit at the front desk and serve as the first point of contact for visitors; will be required to answer or receive calls as needed.
Health & Safety:
* Conduct safety inspections, address hazards and ensure compliance with HSA regulations.
* Support emergency response procedures and collaborate with the Safety Supervisor on safety initiatives.
Shipping & Receiving:
* Manage daily shipping and receiving operations, ensuring accurate processing and documentation of shipments.
* Inspect incoming and outgoing shipments, report discrepancies, and maintain up-to-date inventory records in the management system.
Inventory & Documentation:
* Maintain accurate records of all shipments and inventory levels.
* Prepare and file shipping documents, including bills of lading and customs forms.
* Assist with facilities budgeting and track expenses for cost-saving opportunities.
Qualifications
About You:
* Leaving Cert. (NQF 4 or 5) or equivalent, a qualification in facilities management, engineering, or a related field is preferred.
* Minimum of 2 years in facilities supervision or similar role, with shipping/receiving experience preferred.
* Working knowledge of building systems, maintenance procedures, and safety regulations.
* Basic knowledge of Excel, Word and inventory management software; strong attention to detail and organisational skills.
* Ability to lift up to 15kg; forklift certification is a plus.
* Problem-solving skills, teamwork and good communication.
