JOB SUMMARY
Jabil EMS (Electronic Manufacturing Services) is seeking a self-motivated Facilities Assistant to join our Dublin 15 based team. The Facilities Assistant’s primary role is to ensure the efficient operation and day to day management of the reception and front of house services. As the first point of contact you will lead front of house for Jabil, ensuring all visitors are greeted and permitted entry in line with company security policies.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Provide all front of house reception services, being the first point of contact for all visitors.
2. Ensure all employees and visitors have proper credentials for accessing the building (ID badges and passes).
3. Manage the access control system.
4. Onboard and off board employees in line with safety procedures using our identification and access systems.
5. Ensure relevant PPE is ordered and available for employees and visitors.
6. Support the culture of safety management through compliance with all safety procedures, safety observation reporting and proactive involvement in Jabil AIM.
7. Look out for, and immediately report any Health & Safety hazards, or potential hazards on site.
8. Support the Facilities Manager with the strategic planning, and overall management of the building.
9. Purchase materials necessary to perform work requests, to replenish routine housekeeping and maintenance supplies, and raise purchase orders as required.
10. Ensure contractor documentation is up to date and amended where necessary.
11. Support wider team with ad hoc projects.
12. Assist in general ad hoc office administration as required.
JOB QUALIFICATIONS
13. Experience working in a similar front of house role or facilities role.
14. Experience working in a fast paced office environment.
15. Ability to accurately complete tasks, assignments and responsibilities in a timely manner.
16. Dependable and flexible, able to work independently as well as part of a team.
17. Planning and organisational skills are also required as the role requires balancing many different duties and being able to prioritise them.
18. Good administration skills with an ability to work unsupervised on day-to-day duties and tasks.
19. A basic understanding of good health & safety practices.
20. Proficiency in use of Microsoft Office with a good working knowledge of Excel.
21. High level of attention to detail, with a 'Can do' attitude.
22. Ability to communicate with team members, visitors, and customers, at all times, in an effective, pleasant and tactful manner.
23. Requirement to be present on site Mon-Fri.
