Our Client, an educational institution is looking to hire an Administrative Assistant on a part time(3 days a week) temporary contract until 30 August .
The following details outline the core responsibilities:
1. Examination process
2. Examination deadlines, In house examinations, Marks collation and returns
3. Curriculum management
4. Produce programme related materials, for example, module information sheets, year handbooks, competency assessment booklets, attendance sign-in sheets etc.
5. Procurement, with the aid of Agresso software
6. Room bookings
7. The organisation and publishing of timetables based on information supplied by staff and updating these as necessary, booking rooms for lectures, seminars and tutorials as required
8. Student Affairs
9. Compiling student data and data for internal and external requests
10. Dealing with student and prospective student (and parent) queries on programmes offered in the School of Medicine.
11. Preparation of material for various events within the Discipline and SoM, such as Conferences, information sessions for undergraduate students, prizegiving ceremonies etc.
12. Administrative support for research and researchers within the Discipline of Pharmacology and Therapeutics
13. Organisation of, and attendance at specified meetings and the drafting of the minutes of these meetings.
The successful candidate will have:
14. Very good IT skills with proficiency in M/S Office suite, especially Excel and Word;
15. Good working knowledge of the Agresso financial accounting system, including ordering goods/procurement.
16. Be able to deliver professional support to students and staff
17. Be dependable & positive team-member
18. Comfortable with accepting direction, but capable of showing initiative as required
19. Effective written and verbal communication skills
20. Organised; Capable of self-managing multiple priorities and meeting deadlines
21. Flexibility; Responsiveness to busy environment, and changing requirements
22. Ability to manage a busy email account, responding promptly and appropriately to multiple stakeholders
23. Very good IT skills in in M/S Office suite
24. Good working knowledge of the Agresso financial accounting system, including ordering goods/procurement.
