Responsible To: Director of Sales & Marketing / Sales & MarketingManager
Main Purposeof Job: The wedding coordinator will manage the entire sales process, fromenquiry to booking and delivery of the event. They will be the main point ofcontact for couples and must have excellent communication skills, both inperson and via phone and email. The Wedding Coordinator must have exceptionalattention to detail and be able to prepare operations sheets for each weddingor event, detailing the couple's requests and communicating this effectively toall relevant departments

MAIN DUTIES
1. To handle allincoming enquiries pertaining to the Wedding segment with an efficient,professional and friendly client-orientated approach.
2. Ensuring finaldetails for weddings and events are accurate and communicated effectively toall departments. ( Attention to detail and brand standard is imperative ).
3. Issue Contractsfor confirmed wedding bookings and ensure the deposit schedule is executed.
4. Ensure functionsheets are accurate and distributed efficiently to all relevant departments inthe resort
5. Liaise closelywith the operations team
6. Assist inpreparing bills correctly. Ensure correct billing procedures are followed andcommunicated directly with the Accounts Department.
7. Ensure theaccuracy of diary management by maintaining an efficient option date system& following up on daily activities. Work with the Sales Team tomaximise weddings on specific wedding months as highlighted.
8. To maintainup-to-date and efficient files on all enquiries held on the books and aneffective option date system.
9. To keep detailedinformation on all the reasons for lost business whether regretted, tentativeor definite and the action taken.
10. Ensure all leadsare logged.
11. To organise andattend all relevant Wedding Fairs and action follow-up accordingly as statedabove.
12. Conduct privateshow rounds of the Resort to prospective couples
13. Negotiate withclients through the use of creative presentations and event proposals, toachieve both maximum revenue/profit potential and fulfilment of contractualresponsibilities while satisfying client needs
14. Provide support toadditional departments as necessary including working closely with ouroperations team who are responsible for on the ground delivery of each event.
QUALIFYING CRITERIA
15. A minimum of 2 years' experience in an events/weddingrole (preferred)
16. A competent professional salesperson and an excellentcommunicator
17. Exceptional attention to detail
18. A positive, professional, and friendly approach
19. Focused on providing exceptional customer service
20. Ability to work on own initiative, multitask and workunder pressure
21. Must be flexible and accept a demanding work schedulein a busy environment
22. Competent in Microsoft Word, Outlook, and Excel
23. Ability to learn and utilize various computer softwareprograms
24. Fluent in English
