Role Summary
Our client is seeking to recruit a Project Support Administrator to provide administrative support in the coordination of project board meetings on a number of projects in public sectors. The role will have a reporting line to the Head of Operations but on a day to day basis the successful candidate will work closely with the chair of such project boards. The successful candidate will also be expected to provide project administration support.
Key Responsibilities
1. Provide administrative support on project board meetings in coordination of meetings, including: setting dates, agendas, timely circulation of papers and taking of minutes.
2. Provide administrative support for internal meetings including but not limited to scheduling, pack compilation and minute taking.
3. Provide project administration support to staff in the preparation of presentations, meeting documentation and meeting invitations etc.
4. Support the Operations team in achieving deliverables. This may include coordination of internal and external reporting, procedures and quality, business support and arrangements for business continuity.
5. Other co-ordination or administrative support as required by the Head of Operations.
Experience
6. Three years experience in a similar role dealing with a variety of stakeholders is desirable.
Skills
7. High level of proficiency across Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) is essential; knowledge of Adobe Acrobat, and certification in some or all Microsoft Office programs would be an advantage.
8. The successful candidate should be able to demonstrate strong organisational skills, flexibility and an ability to work in a busy, collaborative, highly professional and dynamic team environment.
9. Strong communication and interpersonal skills.
10. High level of attention to detail and accuracy.
11. Enthusiastic and professional approach to work.
12. A third level qualification is desirable.
