Purpose The role requires the individual to work as part of the companys engineering and administrative team.
The role requires the individual to assist in the monitoring and organising of the purchasing for on-going projects and stock for Engineering, issue w/os to Manufacturing and support in administrative duties as assigned.
The responsible person will be required to operate in a high pace environment communicating with multiple stakeholders in the business.
Responsibilities Oversee all aspects of import and export logistics, including container shipping, customs documentation, and compliance with international regulations.
To liaise with Engineers and the warehouse to ensure that all relevant materials are ordered and delivered to engineering/warehouse stock in a timely manner.
To assist in the creation and issuing of relevant documentation for purchasing for Engineering Project and Engineering Stock.
Attend meetings relevant to job function, following up on key action assigned ensuring smooth running of department.
Recording relevant actions for the team as required.
Cover fellow employees in any of the company sites when some of the teams are out of office or absent.
Assist in minimising lead times for suppliers the effective monitoring of stock.
Where requested conduct research into available supplier to get the best price and availing of any discounts possible.
Organisation of transport of goods in the most efficient way for goods in from suppliers and goods delivered out to customers.
Supporting your manager to act as the point of contact between the company and existing and new clients and maintaining a professional relationship.
Assist in the Training and development of new employees in the department.
Maintaining adequate and accurate records off all transactions on all systems while continuously updating spreadsheets and filing client records.
Liaising with the Quality Management team and engineers with regards new materials and products in terms of pricing and suppliers.
Utilising available stock where possible before ordering new quantities.
Liaising with Quality Management in improving supply chain management.
To ensure that all administrative duties are carried out to a professional standard.
Cover fellow administrative tasks when some of the teams are out of office or absent.
Communicating and organising with all Forwarders & Delivery Drivers to arrange delivery of both engineering/project goods both in/out, while issuing of all documentation needed for domestic and international deliveries for goods out.
Checking, updating and maintaining Excel Spreadsheets with data to match Sage and Scanning & filing Delivery Dockets and Fitting Orders as proof of completion.
Liaising with Store Manager about packing and preparation of outgoing goods.
Assist in the issuing of Work Order and Purchase Orders for orders, reorders and redesign for clients.
Liaising with engineers, customers and confirming prices & delivery dates for re-orders.
Assist in Generating Purchase Orders and arranging deliveries for Flexible Products, Standard Products and Hardware Products for all Projects and Engineering Stock.
Strong command of Microsoft Excel for reporting and data analysis.
Familiarity with export documentation and international shipping regulations.
Dedicated to strict adherence to reporting and procedural standards.
Managing and Tracking of Purchase Orders to suppliers from order to delivery.
Managing and Tracking of Purchase Orders from customers until order is ready to be delivered and invoiced.
Liaising with Quality Management on product quality, certification and validation issues.
Liaising with Director of Finance and HR regards payments.
Liaising with Store Manager to confirm Delivery Docket is matching to Purchase Order and contacting supplier if any discrepancies.
Creating and updating Templates on Sage and Excel, e.g.
Quotations, POs, Invoices, Delivery Dockets.
Archiving completed Projects and documentation.
Issuing, scanning and storing all related documents in specific folders.
Requirements Minimum of 2 years experience in logistics and supply chain.
