Main Purpose of the Job
To be responsible for generating Packing List, Invoices, AWB’s & all required customs documentation to ensure shipments are delivered to customers within agreed timeframe. To be responsible for receiving/checking inbound deliveries & pick and pack product to fulfil customers orders.
Key Responsibilities
1. Generate Packing List, Invoices, & associated shipping docs. To ensure no unnecessary delays due to missing paperwork.
2. Book collections with couriers Fed Ex, DHL, etc.
3. Generate Product Labels & assist with labeling when required.
4. Prioritize shipments according to shipping schedule.
5. Provide customers with accurate shipping docs./Invoices via email.
6. Daily tracking of inbound & outbound shipments, alerting customers of delays (outbound) & providing requested information, e.g., import declarations for inbound shipments.
7. Accurate and efficient picking & packing of orders to meet customer requirements & courier deadlines.
8. Ensure products are labeled & packaged correctly.
9. Monthly stock count to ensure physical stock is accurate.
10. Receiving inbound deliveries on SAP & store according to temperature requirements.
11. Requesting quotes from freight companies for high value shipments.
12. Monitoring & generating Purchase Orders for consumables to ensure continuous stock.
13. Approving Invoices for payment.
14. Generate Weekly/Monthly Report for Temperature monitoring devices, acknowledging out of spec. alerts.
15. Ensure daily/monthly schedules for cleaning & preventative maintenance are adhered to.
16. Resolve queries and escalate to management if required.
17. Adhere to all health & safety procedures when handling product.
18. Attend weekly shipping meeting & provide accurate update on all inbound and outbound shipments.
Essential Requirements
1. Minimum Leaving Cert.
2. Ability to use Microsoft Office packages including a working knowledge of Excel.
3. Previous administration experience.
4. Attention to detail.
5. Ability to multitask, prioritize workload.
6. Team player.
7. Ability to work with minimum supervision.
8. Excellent communication skills.
9. Ability to work under pressure.
10. Proactive problem solver.
11. Excellent organizational skills.
12. Comfortable working in an ISO regulated environment.
13. This position involves some manual handling.
Desirable Requirements
1. Additional education or experience in business logistics.
2. Knowledge of ERP system such as SAP.
3. Previous experience working in life sciences industry.
