Barden are delighted to be partnering with our client, a leading provider of onsite medical services in Ireland and the UK in their search for a Head of Operations.
Located in Cork City, The Head of Operations will ensure that all operational aspects of the company including: Quality, Logistics, Facilities, Compliance, Clinic staffing, Medical Staff Recruitment and HR is running smoothly, efficiently, and in line with the overall strategic goals.
This position will also be responsible for overseeing daily operational activities, managing teams, analysing performance metrics, budgeting, and facilitating communication between departments to ensure efficient and effective operations.
The role will have 4-6 direct reports across Quality, Scheduling and Logistics.

ABOUT THE ROLE:
Operational day to day and planning. (Circa 70% of the role)
* Working with the MD, on developing and implementing annual operations plan which aligns with the company's goals and objectives.
* Lead daily / weekly operations meetings aimed at driving seamless management of clinics and services from staffing; supplies; logistics and compliance. Effective resolution of issues/ challenges or any blockers.
* Oversee all clinical documentation; processes and protocols including developing robust SOP’s & protocols/procedures and ensuring compliance with legal, health & safety and clinical policies.
* Leading the rostering, scheduling and recruitment of clinical/medical staff. Ensuring strong compliance processes for all staff.
* Build relationships with key suppliers including managing Laboratory partners; and driving productivity and efficiencies within Locum agencies.
* Manage Key Accounts
* Taking ownership and driving operational elements of projects.
* Working closely with sales and operations teams to ensure seamless delivery of service to our customers in a timely fashion. Also to be able to flex resources depending on the business requirements.
OTHER ACTIVITIES: (Circa 30% of the role)
Process Improvement:
* Working cross functionally, identify and implement process improvements in key functions helping to enhance service delivery, greater profitability, reduce costs, improve customer satisfaction and drive consistent operations processes/procedures.
* Utilise data and analytics to monitor performance and drive continuous improvement.
* Lead, mentor, and develop the operations team to achieve high levels of performance and engagement.
* Advocate and role model the company values, fostering a culture of collaboration, accountability, and continuous learning within the team.
* The ability to lead, inspire and manage team members that report directly to this position.
Resource Management:
* Oversee the allocation, utilization and cross-training of resources, across different businesses.
* Ensure the effective management of supplies and logistics, continually looking for improvements & cost reduction in this area.
Quality Assurance:
* Drive highest level of standards of quality assurance activities including; medical reporting; customer service & managing clinical aspects of key suppliers (including labs)
* Implement quality control measures and ensure compliance with industry regulations and standards.
* Provide medical/clinical oversight of processes, and procedures
* Liase with Clinical Director on medical practises & reports.
* Advise and manage medical related queries/complaints.
Customer Service:
* Drive a consistent, responsive and positive customer service process.
* Address operational issues that impact customer satisfaction and work towards swift resolution with a ‘fix it forever’ approach.
* Develop playbook of responses to drive consistency and efficiency. Provide medical/clinical oversight on all customer service Q&A/responses
* Develop and manage the operations budget, ensuring cost control and financial efficiency.
* Identify areas for cost improvements across operations lines; logistics; operational supplies; etc.

About the Person:
* Medical / Clinical Degree with experience in Operations Management, or a related field
* Minimum of 5 years of experience in operations management, with at least 2-3 years in a leadership role.
* Proven track record of successfully managing teams in a small/medium sized business.
* Strong clinical, analytical, problem-solving, and decision-making skills.
* Excellent communication and interpersonal skills.
* Experience with process improvement methodologies (if possible)
