Building ManagerDepartment Property Management Location Crown Square, GalwayReports to Property Manager Job SpecificationCrown Square Management Company are seeking a Building Manager to join our property management department. This role is to assist in the management of a new commercial office property and the overall estate management of Crown Square.
The role will suit a building manager or facilities manager with a minimum of 3 years' experience in a commercial property management environment. Key ResponsibilitiesManaging property to an agreed budget.
Managing planned and reactive works by engaging contractors via our purchase order system.
Reviewing works done and approving invoices in consultation with our property management department.
Working with senior team members to prepare budgets each year.
Working with senior team members to review expenditure quarterly and at each year end.
Liaising with Tenants on a regular basis regarding general operations within the properties managed.
Reviewing, negotiation and tendering works to contractors in respect of service contracts.
Preparation of reports for clients and senior team members regarding the condition of properties.
Managing planned preventative maintenance programmes and asset registers.
Implementation and management of Health and Safety and Insurance requirements.
Liaising with insurance brokers with any queries which may arise.
Regular on-site visits and documenting inspections of the properties managed.
Implementing and managing Environmental, Social and Governance (ESG) initiatives.
Uploading key data for properties managed to a selected ESG platform.
Welcoming visitors to the building and requests confirmation of who they are visiting.
Assisting with security for the building to ensure that only approved visitors are given access.
Notifying tenants of visitor arrival.
Directing visitors to reception seating area / lifts appropriately.
Maintaining security and telecommunications system.
Liaising with cleaners and maintenance staff to the building to ensure they have access to relevant areas etc.
Ensuring that reception and building entrance are presented in an appropriate manner.
Managing access control, basement car park and other common areas of the building. Person SpecificationProperty or Facility Management qualification required.
Technical knowledge and/or Facilities Management experience.
Effective communicator with strong interpersonal skills.
Can-do attitude and team playerExcellent IT and Organisational Skills.
