Overall Purpose of The Role
The Facility Manager reports to the contract manager and is responsible for overseeing all aspects of facility management across a diverse portfolio.
Main Duties and Responsibilities
1. Continued operation and delivery of Facilities services encompassing all elements of Facilities Management including but not limited to Buildings, Plant Equipment, Hard Services & Soft Services, etc.
2. Continued management of routine preventative maintenance, testing and inspection schedules to ensure that the facilities are operating safely and efficiently.
3. Maintain Operational Procedures, Preventive Maintenance Plans, Business Continuity Plans and Emergency Plans for Buildings and Utilities.
4. Prepare documents and issue requests for tenders and management of the tender process.
5. Compare costs for required goods or services and deliver value for money.
6. Project manage, coordinate, and supervise third-party contractors, including checking that agreed work has been completed satisfactorily and any deficiencies addressed.
7. Ensure the buildings meet health and safety requirements and comply with relevant legislation.
8. Assist the local site Facilities Coordinators in directing, coordinating, and planning essential central services such as reception, mail, cleaning, catering, waste disposal, and recycling.
9. Respond appropriately to emergencies or urgent issues as they arise and deal with the consequences.
10. Attend Building Management Committee meetings and address actions arising.
11. Being available to respond to emergencies as required.
12. Track planners, PPM schedules, and reactive issues to ensure they are completed as per SLA and reports are issued to the client in a timely fashion.
13. Various ad-hoc tasks as they arise.
Person Specification
1. Experience in facilities management or building services industry/consultancy.
2. Expertise or familiarity with M&E, HVAC and refrigerated equipment.
3. Familiarity with Building Management Systems.
4. Experience in project management and overseeing the work of external contractors.
5. Must possess a dynamic approach to achieving continuous improvement.
6. Experience in building environmental/energy efficiency.
7. Excellent listening, oral, written and presentation skills.
8. Strong interpersonal, relationship-building and negotiation skills with a solid track record for developing internal and external relationships.
9. Strong IT skills, including good working knowledge of the suite of MS Office applications (essential).
10. Flexible attitude with a “can do” work ethic and excellent problem-solving skills.
11. Proficiency in the English language with excellent customer service and communication skills.
Qualifications and Experience
* Relevant 3rd level qualification (e.g. Building Services Engineer, Facilities management or equivalent).
* Experience in tendering for services and project/contract management.
* 3-5 years’ experience in a similar role.
Working Pattern
Monday to Friday, from 8:30 AM to 5 PM.
