Key Responsibilities / Outcomes We are seeking a detail- oriented and organised Pharmacist Scheduling Assistant to join our Pharmacy Scheduling team. The ideal candidate will play a crucial role in ensuring efficient pharmacy operations by managing and optimizing the scheduling of pharmacists across our store network. This position requires excellent communication skills, a strong work ethic and the ability to thrive in a fast paced environment.Key Responsibilities ·Scheduling Coordination: The scheduling assistant will report directly to the scheduling manager and within this team will be responsible for creating and maintaining the scheduling of pharmacists according to the operational needs ensuring adequate coverage for all stores.· Communication:Communicate rostering schedules to pharmacy staff, ensuring that all employees are aware of their working hours and any changes to the schedule in a timely manner. They will support in handling requests for time off, vacations, and other leave and will ensure to adjust schedules accordingly to ensure adequate coverage. You may also support and assist with the onboarding of new pharmacists as needed.· Data Analysis: Analysing scheduling data and metrics to identify trends, inefficiencies, and opportunities for improvement.· Budgeting: Collaborating with finance & operations teams to manage labour costs and optimize staffing levels within budgetary constraints.· Forecasting: Anticipating staffing needs based on factors such as seasonal fluctuations in workload, dedicated events, or changes in business hours.· Compliance:Ensuring compliance with labor laws, regulations, and company policies related to scheduling, including break periods, overtime, and rest periods.· Problem Solving: Addressing scheduling conflicts, resolving staffing issues, and finding solutions to ensure smooth operations within the pharmacy.· Collaboration: Working closely with area managers, operations team, and pharmacy managers to coordinate scheduling efforts and ensure alignment with overall organizational goals. In working closely with the operations team you will be fundamental in identifying and forecasting staffing requirements and will be required to assist with pharmacist recruitment as needed.· Continuous Improvement:Identifying opportunities to streamline scheduling processes, improve efficiency, and enhance employee satisfaction.Key Skills & Experiences· Minimum of 5 years’ experience in Retail pharmacy. · Proficiency in MS Office ( Excel, Word, Outlook ) and familiar with time management systems would be advantageous · Understanding of key trends within the supply chain, wholesale, and retail pharmacy sector · Proven influencing and leadership skills. · Be a high achiever with determination and drive to succeed. · Excellent communication, planning, organisation and analytical skills · Organised, flexible, motivated and hard-working · Exceptional at steering cross functional teams · A passion for achievement, integrity and drive with an exceptional desire to make things happen. · Full clean driving license
