Senior Administrator
We are seeking a highly skilled and experienced Senior Administrator to join our team at the University of Limerick.
Job Description:
* Plan and organise events such as annual review & planning day, office training and workshops, quality reviews etc.
* Coordinate institutional and local office systems, and associated policies and procedures, to include the UL Global Share Point site, Docuware, office data and records files, asset inventories etc.
* Prepare financial/statistical/other reports and summaries for a range of committees and publications.
* Conduct interrogations of relevant systems, e.g. Agresso to ensure that all UL Global activity is conducted in line with guidance and can stand up to audit scrutiny.
* Ensure best practice and compliance with Corporate Governance and audit requirements e.g. in relation to the complex area of overseas payments to suppliers, ensuring the University is not exposed to financial or reputational risk.
Key Responsibilities:
1. To provide information, and responses to queries, to internal and external stakeholders in various fora to include phone, MS Teams, reception area.
2. To have an understanding of the University/third level sector and educational/academic systems, structures, processes and culture.
3. To demonstrate knowledge of working within corporate compliance, governance, best practice, and regulation.
4. To demonstrate knowledge and awareness of working with different cultures.
5. To have a high level of proficiency in office collaboration/financial/records systems e.g. MS Office, Agresso, SI (Student Records) etc.
Requirements:
* A minimum of 3 years' administrative work in a higher education or similar environment.
* A minimum of 3 years' experience working in a busy, customer-facing service environment.
* A proven track record in administration and reporting.
* Experience in quality management systems.
* A primary degree (level 8 NFQ) or substantial acquired experience in a third level environment.
