Job Summary
We are seeking a highly organized and self-motivated individual to join our team as an Office Administrator. The successful candidate will be able to work independently and as part of a team, providing administrative support for various tasks and projects.
The Job:
* Provide diverse and confidential administrative support, exercising discretion as needed.
* Support specific projects, including office maintenance and file management.
* Act as logistics coordinator and cover the reception area, ensuring smooth operation of customer visits.
* Meet and greet customers upon arrival, providing a friendly and professional first impression.
* Ensure accurate and up-to-date time and attendance data entries, annual leave/sick leave records, and compliance with policies.
* Serve as liaison with other departments to resolve day-to-day administrative and operational issues.
* Manage travel arrangements for the team and client customers.
* Prepare and manage various documents, including letters of invitation, reports, presentations, and invoices.
* Organize internal and external events, such as training sessions, offsite meetings, team-building activities, and social events.
* Purchase electronic components online and manage incoming invoices, routing them for relevant approvals and responding to queries.
* Aquire knowledge to respond to queries, take ownership of issues, and communicate resolutions in a timely manner.
* Prioritize and manage a busy workload efficiently.
Your Skills / Experience:
* Prior experience as a Senior Administrator/Executive PA/Office Administration role is essential.
* Experience in a multinational environment is desirable.
* Strong written and verbal communication skills.
* Strong PC skills, including Excel, Word, PowerPoint, Calendar, and SharePoint.
* Flexible approach to work and ability to handle multiple priorities in a fast-paced environment.
