Job Summary
In this role, this position is responsible for providing direct administrative support to the Plant Sr. Director and Plant Management team. Relieves management of administrative details; gathers, compiles and reports information relevant to/for department; may manage several different and often conflicting projects or activities at one time. This position is accountable for performing these plant and administrative duties in a professional and courteous manner with a strong emphasis on Customer Service to both employees and external clients. In addition, be highly organized with an ability to demonstrate keen attention to details, adaptability, resourcefulness, and efficiency. Advanced Outlook skills. Follow up in a timely manner, prioritize, and manage time-sensitive deadlines in a complex, demanding environment.
Essential Duties and Responsibilities
* Administrative support to Sr. Plant Director and direct reports (Engineering, QA, HSE, Production etc.).
* Attend various management staff meetings, record and track action items and publishing minutes.
* Provide a bridge for smooth communication between the site management and internal departments and employees; demonstrating leadership to maintain credibility, trust, and support with management staff.
* Coordinate interoffice communications in a clear and concise manner.
* Function as a gatekeeper to site management by fielding email, calls, and inquiries, and taking detailed messages.
* Partners with Director of Engineering, HSE, and Site Maintenance Department on projects and ensuring security and processes held to the highest standard by following procedures and policies set forth by the Site and West Corporate.
* Assist with in-house and offsite meetings, conference room reservations, catering meals, special equipment needs, transportation and other related items.
* Manage the execution of the company, site, and or department events, fundraising, and employee engagement activities partnering with the Front Desk Coordinator.
* Procurement of non-inventory items (SAP).
* Actively partners with the site Front Desk Coordinator to execute on the day-to-day plant activities.
* Back up to the Front Desk Coordinator.
* Contributes to team efforts by accomplishing related results as needed.
* Other projects as assigned.
Education
* Bachelor's Degree and/or equivalent work experience supporting senior management.
Work Experience
* Minimum 3 years of administrative experience working with Director and above management in a corporate or manufacturing setting.
Preferred Knowledge, Skills and Abilities
* Proficiency in Microsoft Office.
* Advance use of Outlook, PowerPoint, and Excel.
* Experience with Microsoft Teams.
* Self-starter with the ability to work with autonomy and in a team environment.
* Proficient and professional level of verbal and written communications skills.
* Concur and SAP Knowledge a plus.
* Strong organizational and interpersonal skills that reflect ability to perform and prioritize multiple tasks seamlessly with exceptional attention to detail.
* Demonstrate proactive approaches to problem-solving with strong decision-making capability.
* Highly resourceful team-player, with the ability to also be extremely effective independently.
* Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

Travel Requirements
5%: Up to 13 business days per year.
Physical Requirements
Sedentary-Exerting up to 10lbs/4kgs of force occasionally, and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
