Responsibilities:
* Prepare for Tier meetings by overviewing safety moments, tracking holidays, and updating dashboards.
* Maintain organizational charts for all CQV partners.
* Manage email circulation groups.
* Coordinate site visitor appointments and vendors' visits.
* Compile information for Newsletters.
* Prepare storyboards.
* Manage holiday trackers.
* Ensure office supplies are available as needed.
Supporting Resources/New Starters:
* Organize interviews and assist candidates on site.
* Arrange safety inductions and onboarding for the Commissioning, Validation & Qualification (CQV) team.
* Set up printer access and CAR passes.
* Manage training curricula.
* Arrange hotel accommodations for team members relocating to Limerick during the execution phase of the project.
* Help new starters with IT issues.
Safety Duties:
* Document attendance records at safety toolbox talks.
* Track Safepass and ensure all members have valid passes.
* Verify that everyone in the CQV team has read, understood, and signed off on the Health & Safety plan.
* Track hours expended by the team on site and submit weekly reports.
* Share safety communications with the CQV teams.
Doc Control Duties:
* Control FAT documentation.
* Project filing, scanning, and organization.
* Support vendors where required for scanning and filing documentation.
Qualifications:
* A minimum of 3 years in a professional office environment with administration experience.
* Excellent communication and interpersonal skills.
* A friendly, positive, and flexible attitude to work.
* Ability to work independently.
* Strong multitasking and prioritization skills.
* Excellent computer skills in Word, Excel, PowerPoint, Visio.
* Knowledge of SAP is advantageous.
