Operations Services Administrator Grade IV - Temporary Principal Duties and Responsibilities Work collaboratively with Operations Services Team Members including Health and Safety, a number of internal committees, along with other collaborative partners.
Support the administration needs of the Department. To support in the coordination and running of training courses.
Schedule meetings as per committee meeting schedules Prepare agenda list before meetings and send to all members in advance of meetings. Book meetings rooms and ensure IT equipment is available and ready for use Where applicable organise the retrieval of relevant information in advance of meetings Collate accurate, timely and relevant data as required by Operations Services Manager/ Operations Services Supervisor.
Maintain comprehensive electronic diary of all team meetings including names of attendees Inform CHAIR of each meeting of non-attendees, follow up with meeting cohort to ensure delegated nominations Take minutes at relevant meetings, develop draft documents, attain approval and circulate.
Data management - review and update relevant data bases as required Data analysis - review and summarize data where required Eligibility Criteria Hold a relevant Administration qualification or similar and have achieved a high level of proficiency in same Possess excellent communication, interpersonal and organisation skills, and have the ability to work on his/her own initiative and be flexible.
Be a highly motivated self-starter with demonstrable competence in an administrative role Have a comprehensive knowledge of administrative processes and IT skills (to encompass database and excel) to assist in the delivery of a coordinated approach.
Extensive experience creating and managing spreadsheets.
Accuracy and attention to details in respect of Database administration Time management, organizational and multitasking skills necessary to work in a fast-paced environment, handling various tasks and changing priorities, while maintain, a high attention to detail and accuracy to achieve daily assignments and goals Able to display confidence, strong work ethic, and positive attitude.
Support will be provided to enable the appointee to undertake this role.
