Overall ResponsibilityTo ensure the Estate Grounds, Gardens and Components (see Appendix 1- list of areas) (together, the "Grounds") are presented and maintained in accordance with the detailed standards contained in Estate Policy Document, relevant Designs by Landscape Architects (if applicable) and within budget.
The role is that of a working Landscaping Manager and will require a working balance of 90% out on the Grounds and 10% for paperwork and meetings.
There are a significant number of ad hoc projects in the pipeline and which will emerge over time that will form part of the overall responsibility of the Head of Ground and Gardens and the role will envisage significant interaction with the General Manager, Owners and Owners representatives with the view to taking overall responsibility for delivering same.
When required, support golf course operations, working on the course, especially in preparation for future professional golf championships.
Specific Duties(a) Grounds, Gardens and ComponentsEnsure the presentation of the Grounds are at all times consistent with what is expected by Mount Juliet EstateCarry out appropriate maintenance & treatment of shrub, flower beds, grasses & soils throughout the year, including regular updating.
Implement treatment programmesPrepare and execute seasonal maintenance programmes.
Maintain detailed records of the application of pesticides and fertilisers.
Make recommendations on the ways in which the Grounds appearance can be improved, or through which maintenance costs can be reducedLiaise with the greenkeepers, who will complete all grass mowing and spray technician who will complete all large grassland pesticide applications(b) Machinery & EquipmentIn conjunction with the Estate mechanic; ensure that all Ground's equipment is maintained correctly, overhauled when necessary, and cleaned after use, and that equipment service records are kept up to date.
Ensure that the Maintenance Facility; workshop, garage, and other accommodation are kept in a clean and tidy condition.
Arrange the hire of specialist machinery when necessary and when authorised to do so using Mount Juliet's PO system.
Equipment only to be used as recommended by the manufacturers and the set-up procedures they recommend.
(c) ConsumablesMaintain adequate stocks of flowers, shrubs, trees, seeds etc.
along with pesticides, fertilisers and other consumable items, and order replenishment supplies in accordance with Mount Juliet's Procurement Policy.
Ensure that all pesticides, fertilisers, fuels, and other consumables are stored in accordance with statutory requirements.
(d) StaffBe responsible for the training, motivation, and welfare of the members of the staff in your team.
Lead by example.
Organise, roster, schedule and manage your team and ensure they are familiar with the standards required by Mount Juliet, as set out in the Estate Policy Document, and that they carry out their duties in accordance with their terms of employment and that their standard of output is in accordance with sound landscaping practice.
Ensure that your team is instructed in, and comply with, matters relating to Health & Safety.
This includes:
The use of protective clothingTraining in the use of equipmentThe storage and use of pesticides, fertilisers & fuelsThe display of warning signs after application of pesticides or certain fertilisersAttending first aid coursesEnsuring first aid kits are fully stockedThe Landscaping Manager must conduct risk assessments when necessary and ensure that Mount Juliet's Health and Safety policy statements are displayed in the main buildings and are read by your team members.
Make recommendations in relations to terms and conditions of your team.
Complete staff time sheets daily, ensuring good time keeping, overtime records and the time taken for each task.
Control overtime (if pre-authorised).Prepare a holiday roster for all employees working taking due consideration of the work requirements and time of the year.
(e) Work ProgrammesMeet on regular basis with General Manager, Facilities Manager, and the Superintendent to review work done and detail work planned for the following week.
Update production (white) boards on weekly and monthly basis to reflect planned work programme.
Use the software programme (TurfKeeper) to managing work programmes, stock, and other areas.
Communicate regularly with the Facilities Manager and Superintendent, including any variations to the work programmes as they arise, and reasons thereof.
Ensure, when planning work programmes, that in implementing the programme the fixture arrangements of the hotel and golf course operations are taken into consideration.
Ensure any work carried out on the course is planned to cause the minimum of inconvenience to Estate Guests and Visitors.
Inspect the Grounds daily and action any issues observed.
Deal with day to day matters that need immediate attention e.g.
breakdowns, extreme weather etc.
(winter salting)(f) GeneralAdvise your Reporting Line immediately if unable to attend work for any reasonEnsure that your team is fully briefed to maintain the landscaping of Mount Juliet adequately when on holiday or absent for any other reasonKeep abreast of new techniques relating to your role and of the introduction of new equipment.
Assist in the preparation of annual budgets for your areas and monitor actual expenditure during the year against those budgets.
Authorise suppliers' invoices for all purchases relating to your areas and ensure purchase order number system fully complied with.
Supervise specific external contractors including landscape, tree surgeons etc., if and when required.
Organise recycling areas and green waste disposal.
