We are now recruiting an Operations Officer.
Reporting to the Operations Manager, this role will assist in the day-to-day management of the Operations Department within ALONE, helping to make sure the management of Health and Safety coordination and planning, facilities coordination and planning, as well as general operational activities. Where you will be working within the wider Operations team to ensure continuous improvement processes are in place and implemented within all areas of ALONE.
The role of the Operations Officer is to support ALONE by developing, enhancing, and maintaining the Operations Team and activities creating a culture of continuous improvement, compliance and ownership of responsibility across the organisation. The role requires adherence to the operations reporting structure, ensuring the Leadership and Board are supplied with the necessary information to govern the business effectively.
These key responsibilities will include:
Support the Operations Management to develop & coordinate Health & Safety plans with other key depts within the organisation.
Support the implementation of Health & Safety policies and procedures & embed a best practice safety culture in ALONE.
Act as Health & Safety Coordinator to deliver the approved Health & Safety plans.
Liaising with ALONE’s training team to ensure all staff receive relevant H&S awareness training.
Promote a culture of ensuring all accidents and incidents are reported on to create opportunities for improvements or corrective actions as necessary.
Ensure all Facilities activities, and administration activities are executed and controlled in-line with the approved budget, policies, procedures and health & safety work instructions. Manage external relationships relating to facilities management.
Develop and implement an agreed facilities schedule as per the framework.
Liaise with all contractors and suppliers engaged to address agreed activities.
Monitor and control facility-related budgets and procurement processes effectively.
Preparing regular reports demonstrating compliance with the metrics and KPIs approved by the Board and Leadership Team.
Any other duties within the general requirements of the role, within the department and organisation that may be assigned.
Maintain accurate records across each area of responsibility
Essential skills & experience
Prior experience in an operations professional environment with a sound working knowledge of operations, Health and Safety coordination, facilities, compliance, and control.
Prior experience in facilities maintenance and administration.
The ability to design, analyse and improve policies and procedures, providing appropriate reporting, advice and guidance to ALONE colleagues and management.
Proven experience in managing/reporting to tight deadlines.
Preparing and delivering management team-level reporting across responsibilities.
The ability to identify, understand and escalate matters for attention across your portfolio and participate in the delivery of solutions.
Strong attention to detail in every aspect of their work.
Ability to influence colleagues and management discussions to ensure commitment and buy-in to your agenda.
Strong written and verbal communication skills to ensure the delivery of clear and concise information to management and colleagues.
Strong organisation skills in terms of prioritising your activities and meeting regulatory and management deadlines.
Comfortable using MS Office, SharePoint, Salesforce and other similar applications.
