Renewable Energy Construction Project Construction Coordinator - Remote
Scope of Job:
The Project Construction Coordinator will be responsible for supporting the pre-planning and execution for Solar, On-Shore Wind, High Voltage, and Energy Storage Projects. In addition to project-supporting tasks, the position will support continuous improvement initiatives such as documenting and improving processes and procedures, and market industry knowledge.
Responsibilities:
Document Control (45%):
1. Manage documents control and workflow monitoring during the EPC RFP, EPC contracting, and during the construction, testing, and commissioning of the project.
2. Support the set-up of the internal and external project folders.
3. Support the design of the workflow for the different processes during the project execution.
4. Maintain a library of standard templates and guiding principles for close-out documentation.
5. Assist in scanning, organizing, indexing, archiving essential project documentation.
6. Receive and process RFIs, NCNs, Submittals, and Transmittals.
7. Maintain tracking log for RFIs, NCNs, Submittals, and Transmittals.
8. Check compliance and quality of documents against contract requirements.
9. Liaise with Client/Contractor/Subcontractor.
10. Report on process of documents as needed.
11. Administrate the document control system/platform for the project.
12. Manage the process of Job Books creation and compliance, in accordance with contracts requirements.
13. Review and comment on QA/QC documents required for Job Books.
14. Transmit documentation and submittals through the project management platform.
15. Receive, log, and track plans and specifications as received including all revisions.
16. Maintain all required hard copy and electronic copy files of project documentation.
17. Support project team with regards to submittals, RFI’s, drawings, specifications, and other project documents.
Site Administrative Management (30%):
1. Participation in selection and training of on-site administrative staff regarding specific job duties, including but not limited to, document control, accounting support, SAP, and standard processes.
2. Manage company IT equipment and office supplies transfer from one project to another.
3. Support project site team in getting site staff for construction equipped with all standard office, safety, and IT equipment.
4. Support the implementation of the inspection and testing plans.
5. Support the training and onboarding of new site team.
6. Manage the different Service Agreements for the project, including NDA’s, MSA’s, CSA’s, and SOW’s.
EPC RFP & Contracting Process Support (20%):
1. Support the Project Engineering & Construction Manager during the RFP process.
2. Prepare BoP contract exhibits (including the SOW, technical specifications, drawings, quality, and safety requirements) before launching the RFP.
3. Ensure construction contracts are aligned (back-to-back and no gap) between Owner Supplied items, DBS contracts, and other construction interfaces.
4. Support the review and response to bidders RFIs.
5. Work with project team to evaluate bids and award contracts.
6. Support the EPC contracting process with the selected EPC-contractors, including the Exhibits negotiations.
General (5%):
1. Track proper reporting of key project safety metrics on a monthly and quarterly basis for all projects and contractors.
2. Support of company initiatives, such as implementing new processes, procedures, or development of department specific tools.
3. Perform other duties as assigned.
Qualifications/Experience – A minimum of 6+ years’ experience in Project or administrative support.
Skills/Knowledge/Abilities:
1. Strong organizational and communication skills, both written and verbal.
2. Strong knowledge of documentation management.
3. Clear understanding of project related contracts, documentation, stakeholders, and administrative steps.
4. Capability to document and report project progress accurately.
5. Focus on safety, quality, and customer service.
6. Demonstrated quality of excellent interpersonal communication skills.
7. Highly motivated self-starter, friendly personality, team player, with ability to lead by example.
8. Computer proficiency includes SAP, Concur, Egencia, SharePoint; Visio, Excel, PowerPoint, and Word applications.
Working Conditions:
Approximately 100% of the time is spent at a construction site office or contractor office in the commercial/industrial construction environment utilizing computers and construction documentation such as plans, specifications, contracts, schedules, and other project control documents.
