The Role / LocationThe successful applicant will be joining an established team within the property and facilities management department to work in 24-26 City Quay, a landmark office building over-looking the River Liffey.
The environmentally conscious scheme at 24-26 City Quay is a LEED Gold, Wiredscore Gold, Rise Gold, Activescore Gold and Fitwel (1 star) certified property.
The property comprises of approximately 90, sq ft of premium office accommodation and retail units with direct pedestrian access on to City Quay.
The property was extensively refurbished in and achieved BER A3 rating.
You must be proactive and capable of working on your own initiative, as well as providing administrative support to the wider team.
The candidate will demonstrate an understanding of service standards and key deliverables in line with contractual obligations and operate in a pro-active manner to anticipate customer needs and demonstrate a 'can-do' attitude.
The candidate will always be a highly visible and will be the initial point of escalation for all building-based occupants and site users / visitors.
Experience of onboarding and managing a newly constructed building will be a key requirement for this important role.
Key Responsibilities & Tasks1.
Building Operations Management:
Oversee the day-to-day operations of the commercial building, ensuring it operates efficiently and effectively.
Coordinate and supervise maintenance and repair activities, including HVAC systems, electrical systems, plumbing, and other building infrastructure including security, cleaning & landscaping.
Oversee all aspects of the PPM maintenance and upkeep of the property including cleaning, security, landscaping, general maintenance, water treatment, mechanical and electrical, lifts, life safety systems and other statutory requirements.
Implement and maintain building safety protocols, including emergency procedures, fire safety, and security measures.
Manage building access control systems, ensuring the security and safety of tenants and visitors.
Monitor building systems (BMS), conduct regular inspections, and address any maintenance or operational issues promptly.
In conjunction with the central FM team, the management of all outsourced contractors for the provision of services inclusive of permits, RAMS etc.
Supporting the building landlord and all key stakeholders to help deliver all ESG related goals and targets.
Source, evaluate, and manage relationships with third-party vendors and contractors for maintenance, repairs, and services.2.
Budgeting and Financial Management:
Support the development of the annual building budget, including operating expenses, maintenance costs, and capital improvements.
Monitor and analyse financial performance, identifying opportunities for cost savings and efficiency improvements.
Review and approve invoices, ensuring accuracy and adherence to budgetary constraints.
Work closely with the procurement team managing the tendering process in preparation for budgets.3.
Occupier Engagement:
Foster positive relationships with tenants and act as the primary point of contact for their needs, inquiries, and concerns.
Regularly communicate and engage with tenants to understand their requirements and ensure their satisfaction.
Proactively address tenant concerns and resolve issues in a timely manner, providing exceptional customer service.
Provide updates and reports on building operations, policies, and improvements.
Essential Knowledge, Skills & ExperienceAt least 5 years strong corporate building management experience.
Proficient in using facilities management software, CAFM systems and Microsoft Office Suite.
Proven experience in Facilities / Building management or a similar role.
Strong knowledge of building systems, codes, and regulationsAnalysis of budgetary information to assist in annual budgetary process and cost management.
Excellent verbal & written communication and must be excel literate.
Previous trade or electrical experience beneficialHave a relevant qualification aligned to Facilities Management, and a demonstrable record of continuous personal development within the industry.
