Job Purpose
To manage the delivery of a specific FM function to meet agreed customer business requirements and to provide support to the Facilities Manager.
Main Duties and Responsibilities
1. Welcome clients and visitors to the office in a professional and courteous manner.
2. Signing in guests and preparing visitor passes for all external guests / clients.
3. Directing them to their party or arranging for their party to collect them.
4. Manage all incoming calls in a professional and courteous manner and assigning them correctly.
5. Ensuring that the reception area is maintained in a clean and tidy condition at all times.
6. Ensuring that all details in the visitor’s record system are completed prior to the visitors being issued with temporary access cards / key.
7. Direct couriers and other postal deliveries to the correct area.
8. Miscellaneous orders such as taxis, flowers, milk, etc.
9. Log facilities work requests.
10. Assist staff with travel arrangements.
11. Completion of the Corporate and Local directory for use within the office; ensuring all details are issued to all staff.
12. Helpdesk - Acting as the point of contact for Facilities Work Requests (if necessary).
13. General Administration e.g. stationary orders etc.
14. Working closely with the facilities team.
15. To deliver agreed levels of Customer Service.
Qualifications and Experience
1. 2 years’ experience in a similar role.
2. Strong Customer Focus.
3. Minimum leaving cert qualification.
Working Pattern
Monday - Friday, 9 am - 6 pm.
