Role Profile
This role will provide administrative support to the Document Controller and Directors.
Key Responsibilities
* Develop a plan with the Senior Document Controller and Director to ensure efficient and effective travel arrangements. Manage complex daily diaries.
* Prepare all necessary materials for travel (assemble binders, pre-reads and agendas) with the Senior Document Controller and Director.
* Book and prepare travel itineraries (registration, ground, air, lodging).
* Collaborate with the Senior Document Controller and key Director contacts to schedule meetings and phone calls.
* Respond promptly and professionally to all enquiries and contacts.
* Plan events and coordinate activities for small or large groups at off-site and on-site locations.
* Interact with individuals from other organizations to coordinate schedules.
* Process accounts payable/invoices and direct incoming requests to the appropriate personnel.
* Maintain team and meeting distribution lists.
* Prepare correspondence and other materials for outgoing mail.
* Arrange details for visitors and maintain organization charts for the department.
Requirements
* 5-10 years of administration experience, preferably in the pharma/biotech/medical device industry.
* Ability to work independently with high self-management skills in a dynamic environment.
* Effective time management to meet multiple demands.
* Advanced competency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Proficiency in Electronic Document Management Systems (EDMS).
