Job Title: Administrative Officer - Ireland

Salary: €29,000 - €31,000 FTE
Purpose of Job:
To assist the Company and all representatives on a daily basis to ensure that the administrative needs of the Company are conducted and completed in the most efficient and effective way possible. To assist, as required, Chief Executive Officer, Operations, Medical, Quality and Regulatory functions. To support the Company to maintain consistency and compliance in accordance with Company procedures and any relevant legislation.
Qualifications and Role Requirements:
* Ability to work unsupervised when required to solve problems and follow tasks through to completion.
* Ability to achieve deliverables in agreed timelines.
* Ability to pay close attention to detail to ensure a high standard of quality in handling and preparing documentation.
* Ability to work under supervision in a matrix organization and identify priorities.
* Ability to communicate effectively with clients and customers, to respond to enquiries promptly and efficiently.
Relevant Regulation and Related Issues:
* Human Medicines Regulations 2012 and Statutory Instruments.
* Data Protection legislation.
Relationships:
Responsibility to: Managing Director, JensonR+ Ireland
Direct Relationships: Operations team, Senior Management.
Indirect Relationships: All other members of the Jenson Team, Clients, Customers, Suppliers.
Limits of Role:
The post holder is not expected to authorise expenditure. If required, this will be in agreement with the Chief Executive Officer.
Main Duties and Responsibilities:
* Serve as the primary point of contact for internal and external communications related to office operations.
* Answer company incoming calls.
* Provide office administration such as preparing documents, filing, handling mail, and organising courier collections.
* Monitor and manage replenishment of office stationery and other supplies, tracking expenditure and ensuring cost-effective procurement.
* Co-ordinate and book travel arrangements for staff.
* Organise catering for visitors.
* Book off-site meeting venues as required.
* Oversee maintenance of office equipment, liaising with external vendors and suppliers to arrange services and repairs.
* Cleaning as required.
* Reconcile expenses and credit card transactions in a timely manner.
* Assist with admin and IT requirements for new starters and contribute to new starter training in administrative areas, including computer and telephone set up.
* Assist with IT support by liaising with external IT consultants.
* Assist with administration of employee benefits and rewards schemes.
* Plan and organise social events, volunteering opportunities and other company initiatives locally.
* Defined Health and Safety Roles to support the Company in maintaining compliance with current legislation.
* Archiving of data and files as per written Company procedure or guidance to ensure compliance and enable swift data retrieval.
General Responsibilities:
All employees of JensonR+ Ltd have a responsibility under the Health and Safety at Work etc Act 1974 to ensure their own and others' safety whilst at work and to be aware and work within the framework of Jenson’s Health and Safety Policy and the associated Standard Operating Procedures.

Pay: €29,000.00-€31,000.00 per year
Expected Hours: 20 – 22 per week
