Job Summary
We are seeking a highly organized and customer-focused individual to join our team as a Sales Reception & Vehicles Administration specialist. In this role, you will be the first point of contact for customers, providing exceptional reception services, and supporting the sales team with administrative tasks related to vehicle sales and inventory management. Your ability to multitask, attention to detail, and excellent communication skills will be key to ensuring smooth operations within our motor centre.
Key Responsibilities
Reception Duties:
* Greet customers warmly and professionally as they enter the motor centre.
* Answer and direct incoming phone calls promptly and efficiently.
* Provide information and assistance to customers regarding vehicles, services, and appointments.
* Schedule and manage customer appointments.
* Follow up with customers post-purchase to ensure satisfaction and address any concerns.
Sales Support:
* Assist the sales team with administrative tasks, including preparing sales documentation and processing transactions.
* Maintain accurate records of all vehicle sales and related documentation.
* Ensure all required paperwork for vehicle sales is completed accurately and submitted in a timely manner.
Vehicle Administration:
* Coordinate the registration and documentation process for new and used vehicles.
* Manage vehicle inventory records, ensuring all details are up-to-date and accurately recorded in the system.
* Assist with the preparation and submission of warranty and service documentation.
* Track vehicle deliveries and coordinate with the sales team to ensure timely handover to customers.
* Monitor and manage vehicle stock levels, ordering new stock as required.
Administrative Duties:
* Maintain and update customer databases with accurate and current information.
* Prepare reports on sales activities, inventory status, and customer feedback.
* Assist with general administrative tasks such as filing, photocopying, and mail distribution.
* Support the organization and execution of promotional events and sales campaigns.
What You Need To Succeed
* Experience: Previous experience in a receptionist or administrative role, preferably in the automotive industry.
Skills:
* Excellent communication and interpersonal skills.
* Strong organizational and multitasking abilities.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and dealership management software.
* Attention to detail and accuracy in data entry and record-keeping.
* Ability to work effectively in a fast-paced environment and handle pressure.
* Customer-focused with a professional and approachable demeanor.
