Main Duties and Responsibilities
Ensure accurate and timely processing of all incoming documentation to support the effective close-out of open works.
Maintain good Safety, Health, and Environment (SHE) compliance across all facilities-related services.
Provide administrative support in accounting, as needed.
Implement site service or process improvement initiatives to enhance efficiency and productivity.
Perform general administrative tasks, including filing, photocopying, scanning, binding, and recording timesheets.
Generate client quotations and reports in a timely manner.
Ensure team members are updated on project and contract status through regular reporting.
Authorise, allocate, and record staff absences using our online system, TMS.
Key Areas of Improvement
* Identify and implement ways to improve efficiency across all facilities-related services.
* Raise requisitions and purchase orders as required.
Qualifications and Experience
We require an ECDL qualification and excellent proficiency in Microsoft Suite.
At least one year of administration experience is necessary.
You must be able to work effectively as part of a team and independently.
Candidates should possess excellent interpersonal and communication skills.
Understanding of safe working practices and health and safety legislation is essential.
A high level of attention to detail and organisational skills is required.
Flexibility, honesty, and reliability are key qualities for this role.
Working pattern: Part-time, Monday to Thursday, 9:00-13:00, 16 hours per week.
