We are recruiting an Accounts & Administration Officer to work full time for a non-profit/religious organisation.
Location: D2 /D4
Objective:
* To take full responsibility for your work in the Provincial Bursars office and the community involved.
* The Accounts & Administration Officer will be highly organised, hardworking and self-motivated in order to ensure the smooth running of accounts and administration functions of the Community and Provincial Bursars office. You will need to work with your line Manager with minimal direct supervision. You will need to demonstrate excellent time management and organisation skills. You will be comfortable with Sage accounts, Microsoft 365 and general office operations and have a good understanding of basic accounting principles. You will have good people and community skills in order to best work with the other staff and the members of the Order.
Role & Responsibility:
Bookkeeping
* Attend to the banking transactions of the Community accounts offices and all associated banking and compliance administration for the bank accounts and debit, credit cards.
* Maintain the accounting records for the Community in Sage.
* Prepare the Community Income & Expenditure accounts on a quarterly basis or as requested for submission to the Provincial Bursars office.
* Provide quarterly Income & Expenditure accounts to the Bursars office and present the accounts to the members of the community at a meeting.
* Prepare month end bank reconciliation for all bank accounts.
* Arrange for payments to all suppliers through online banking.
* Assist the Finance Manager with the preparation of year end accounts.
* Responsible for the safekeeping of the financial and administration records.
* Working with the auditors to assist with the annual reviews/audits of the community accounts.
* Assist the community with administration duties in relation to state pension applications.
* Overseeing the incoming mass stipends and ensure the correct recording of them in schedules and in Sage as instructed by the Finance Manager.
* Adhere to the Financial Policies of the Order.
* Oversee the operations and processes in the Cash Office ensuring safety and security and compliance in all cash related matters.
Governance & Administration:
* Work with the Provincial Bursar to implement all of the policies of the Order in the Community.
* Use Sharepoint for all accounts and administration soft copy files.
* Payroll - provide rosters to the Bursars office.
* Assist the Senior Accounts Officer in Provincial Bursars office with any payroll related queries relating to the community employees.
* Take responsibility for recording of annual and sick leave for all employees in the community.
* Ensure the safekeeping of all HR related documents and files.
* Contact the Provincial Bursars office with HR related queries.
* Work with the Provincial Bursars office to arrange all staff training in the community.
* Work in collaboration with the Provincial Bursar in all matters relating to bookkeeping, accounting issues, insurance issues or employment issues.
* Work with the Mass Shop assistants to assist them to provide an accurate year end stock count.
* Assist the Provincial Bursars office in implementing the IT policies in the community.
* Assist with basic IT issues or arrange a call out.
Core Competencies Required:

* Work independently but also as a team.
* Min 3 years previous general accounts experience.
* Good communication skills, fluent and clear.
Salary: €40-45k
Location: Divided 3 days D2 and 2 days in D4; parking is available.
