Administration Assistant Dublin City Centre (Semi-State Organisation)
This is a fantastic opportunity for a highly organised and detail-oriented individual to take on a varied role that combines administration, bookkeeping, and PA duties within a professional and supportive environment.
Key Responsibilities
* Act as PA to the CEO when required.
* Supervise the junior office administrator (if applicable).
* Manage reception duties, including answering calls and handling general office queries.
* Maintain the office and reception area in a professional manner.
* Prepare letters, documents, and materials for meetings and events.
* Manage stationery ordering, filing systems, and general office organisation.
* Assist the Sales team with record management.
* Support the Training Manager with administrative tasks.
* Help coordinate conferences and events, including attendance as an administrator.
* Oversee the boardroom schedule and facilities.
* Handle outbound mail and assist with packaging outgoing communications such as membership packs, invoices, and statements.
* Maintain Standard Operating Procedures (SOPs) for administrative processes.
* Provide support to members and liaise with internal teams to ensure smooth operations.
Bookkeeping Duties
* Process lodgements and petty cash transactions.
* Manage accounts payable/receivable and issue invoices, receipts, and credit notes.
* Enter daily cash receipts and assist in debt collection.
* Issue renewal notices to existing members.
Requirements
* Proficiency in ZOHO systems is essential.
* Strong experience with MS Word, Excel, PowerPoint, and Outlook.
* Familiarity with Bank of Ireland Business Online (BOL), BOL Payments Plus, and BOL File Gateway.
* Excellent organisational skills and attention to detail.
* Ability to multitask and prioritise workload effectively.
