About the Role
This is a full-time and permanent Office Manager position with a dynamic PR & Communications company based in Belfast city centre.
The role offers excellent opportunities for growth and development, working with a team that has experienced year-on-year growth since being funded and has won over 50 national and international awards for PR and communications.
Key Responsibilities
* Office Operations: Manage office supplies, general administration, and daily mail distribution.
* Travel Arrangements: Arrange Managing Director and Director travel/hotel requirements, as well as wider team arrangements when needed.
* Event Management: Support client and internal practice meetings at the Belfast office, including room preparation, AV, and refreshments.
* Marketing and Print Materials: Manage all practice marketing and print materials, and liaise regularly with suppliers.
* Tender Applications: Assist with tender applications and pitch presentations, including practice credentials documentation and insurance.
* IT Service Contract: Manage the IT service contract, as well as other suppliers where required.
* HR Administration: Record and action absence management procedures, coordinate and approve staff leave, schedule performance reviews, and ensure staff are aware of the Employee handbook.
* Finance: Manage practice financials, including client and supplier invoices, receipts, and expenses, using Xero. Work with external accountants to update practice accountancy software system, produce trial balances, monitor financial work in progress, and run monthly payrolls.
Requirements
* Experience: Experienced Office Manager or Office Coordinator in a Professional Services environment.
* Skills: Excellent IT and systems skills, self-starter who can work on their own initiative, exceptional organisational skills, strong attention to detail, and ability to maintain confidentiality.
Package
Salary: £28-£35K depending on skills and experience. Pension contribution, 21 days holiday + Birthday + Stats, £1000 interest-free loan, and a city-centre location near public transport links.
