Job Description
This is a temporary position as an Operations Co-ordinator, reporting to the Directorate Service Manager.
Purpose of the Role
To support an efficient and effective administrative service for one of the departments within the directorate.
Responsibilities
* Coordinate tasks and responsibilities of administration staff in your service area of responsibility.
* Evaluate and improve the efficiency of all administration processes, ensuring they meet the highest quality standards and conform to best practice protocols.
* Manage and coordinate lists according to national guidelines.
* Respond to daily operational issues that may arise in the management of your area of responsibility.
Tasks and Responsibilities (Continued)
* Understand demand and capacity metrics to make informed decisions.
* Review performance indicators (KPIs) and measurement targets in conjunction with the Directorate Services Manager and the directorate team.
* Support the development and monitoring of action plans to address variation in demand and capacity.
* Standardize patient flow processes for effective appointment management.
Key Tasks
* Monitor and maintain clinic templates, keeping them up to date and reviewed as per requirements.
* Conduct waiting list validation exercises according to protocols.
* Support data collection requirements for service evaluation.
* Audit data quality to minimize errors and develop follow-up and training plans with staff as appropriate.
Team Management
* Manage all administrative staff within your area of responsibility, ensuring adherence to hospital policies and best practice standards of work.
* Promote a responsible and accountable culture amongst staff.
* Ensure all mandatory training is undertaken and promote staff training and development as required.
* Oversee electronic CORE HR resources and planning.
Qualifications and Experience
The successful candidate will have at least two years' satisfactory experience in an administrative capacity within the Public Sector/Hospital/Health Care or other relevant environment.
In addition, the candidate should possess sufficient administrative capacity to discharge the functions of the grade.
