Facilities, Maintenance, & Sustainability Manager CMS Limited (Crinstown Management Services) delivers timely, efficient, high-end Facilities, Maintenance, and Sustainability-related services to a portfolio of clients. Position Overview We are seeking a skilled and proactive Manager to oversee preventative maintenance, and maintenance operations, and to develop and implement relevant, dynamic, sustainability programmes. Reporting directly to the Managing Director, this role requires you to be highly flexible and capable of multi-tasking, essential for ensuring the safety, functionality, and aesthetic excellence of all facilities under your stewardship. The successful candidate will bring technical expertise in electrical systems, plumbing, and general property maintenance, combined with strong leadership and management capabilities. This position encompasses a wide range of responsibilities, including managing fire safety compliance and Building Management Systems (BMS). Additionally, the role involves integrating innovative technologies into building and room furnishings in collaboration with IT and operations departments. The ideal candidate will have a proven track record of leading maintenance teams on different sites, coordinating large-scale projects with external contractors, and maintaining compliance with health and safety standards. Flexibility to respond to emergency on-call situations and experience managing large projects with tight deadlines are vital. Key Responsibilities Leadership and Team Management Lead, train, mentor, and proactively manage a team of maintenance personnel across multiple sites, to ensure efficient and high-quality work across properties. Prepare and maintain appropriate documentation, such as relating to training and staff engagements. Manage scheduling and task delegation while monitoring team performance. Maintenance Operations Oversee electrical, plumbing, HVAC, Building Management Systems (BMS), kitchen and mechanical systems, ensuring compliance with safety and operational standards. Conduct regular inspections to identify, prevent, and resolve maintenance issues. Ensure the seamless functioning of water quality control systems. Be available, as required, to respond in relation to on-call situations arising, including in the evenings, at weekends, and bank holidays. Sustainability Set sustainability goals, and lay out the pathway to success. Drive awareness of, and compliance with, sustainability initiatives, ensuring timely, effective communications with all relevant stakeholders. In conjunction with the senior management of CMSs clients, integrate sustainability into their business practices, and business culture. Identify sectoral trends, as well as innovations within other sectors, that might be suitable for CMSs clients e.g. green, biodiversity, and/or circular-economy initiatives. Achieve green recognition/certification with relevant accreditation bodies. Assess the full range of impacts of (proposed) sustainability initiatives, including a cost/benefit analysis. Implement and coordinate waste management initiatives, with a view to minimising environmental impacts, increasing the efficiency of waste management processes, and reducing costs associated with waste processing/disposal. Prepare and present proposals and reports if/as appropriate. Fire Safety Compliance Ensure all client properties meet fire safety regulations, including testing fire alarm systems, maintaining fire extinguishers and suppression systems, and maintaining all appropriate records. Collaborate with local authorities and agencies, if/as appropriate, to stay updated on compliance standards. Liaise and manage relationships with contractors providing external expertise. Project Coordination Organise, liaise, and manage teams of external contractors for specialised projects. Ensure contractors meet deadlines, adhere to agreed specifications, and stay within agreed budgets. Oversee health and safety compliance for all contractor activities, equipment, and structures used on-site (including securing Safety Statements and RAMS from contractors). Technological Integration Work closely with IT and other operations departments to integrate new technologies, based on client needs. Maintain and troubleshoot Building Management Systems (BMS). Operational Efficiency Manage budgets effectively to optimise resources and reduce costs. Develop and implement preventative maintenance programs to extend the lifecycle of equipment and infrastructure. Maintain a full suite of complete and accurate maintenance records and ensure compliance with all regulatory requirements. General Maintenance With relevant personnel or contractors, address day-to-day maintenance needs, including carpentry, painting, and general repairs. Ensure timely and efficient resolution of all maintenance-related issues, to minimise client disruption. Health, Safety, and Environment (HSE) Conduct regular safety inspections and audits to maintain compliance with health and safety standards. Promote and ensure a culture of safety across all maintenance activities. Requirements and Expectations Proven experience in maintenance or facilities management, preferably within high-end hospitality or a multi-property setup, is necessary. Strong expertise in electrical and IT systems is vital for this role. Proficiency in plumbing, including repair, installation, and water system maintenance, is desirable. Familiarity with BMS and a proven ability to integrate smart technologies into existing operations will be an advantage. Extensive knowledge of fire safety regulations and compliance is a must. Must have strong leadership skills and the ability to effectively manage diverse teams. Experience needed in organising and managing external contractors for large-scale projects. Applicants must have a clean and valid Irish drivers license. Exceptional organisational and multitasking skills, with the ability to manage complex projects, is required for this role, ideally using critical path analysis and/or other appropriate project management software. Flexibility to respond in relation to on-call situations outside regular working hours will be expected of the successful candidate. Excellent written and verbal communication skills, in English, is essential. Main responsibilities include: Oversee all aspects of facility management, ensuring the safe and efficient operation of buildings and equipment. Ensuring that CMS is sufficiently resourced, at all times, with competent, trained, experienced, in-date certified Team members. Manage routine preventative maintenance, testing, and inspection schedules, to uphold operational standards. Participate in annual budget preparation, including with respect to labour, and subsequent oversight and management of rostering and purchasing activities, always operating within budget. Prepare and manage the tender process for goods and services, ensuring cost-effectiveness and value for money. Conduct periodic reviews of suppliers to ensure that CMS (and its clients) are always achieving VFM. Project-manage third-party contractors, ensuring work completion standards are met and any deficiencies are addressed. Respond to emergencies and coordinate essential central services, supporting local teams with building management initiatives. The ideal candidate will have the following: 3-5 years of experience in facilities management or the building services industry. Experience in tendering for services and project/contract management. Previous experience in a hands-on M&E role. Ideally, hold a relevant third-level qualification (e.g., Building Services Engineer, Facilities Management). Strong skills in project management and familiarity with M&E, HVAC, and refrigeration systems. Proficient in IT a good level of computer literacy. Demonstrated experience in environmental management and energy efficiency (sustainability) initiatives, with a dynamic approach to continuous improvement. Full, clean, drivers licence (at all times).
