Salary: €28,090 to €38,623 DOE
Role Overview
The Administrative Assistant forms part of the administration team which has a key role in ensuring the co-ordination and planning of all administrative tasks of the department. It is a function that enables all experts within the unit to focus on delivering projects while ensuring that the team has administration support as required from the administration team.
The Commercial Development Administrative Assistant will report directly to the Commercial Development Administrative Team Leader. The role will provide support and assistance in terms of diary management to senior management, general administration, coordinating and planning to the wider Commercial Development Team to enable further efficiencies across many areas.
The post requires excellent planning, organisational and administration skills, a dedication to detail and a willingness to adapt to the changing priorities of the team.
Key Responsibilities
Provide general admin support, including document management, postage, file organisation, and stationery needs.
Assist senior team members with diary management, meeting preparations, room bookings, attendee coordination, and action tracking.
Collate agendas, take minutes, and circulate them as needed.
Maintain the team holiday calendar and monitor departmental emails, redirecting as appropriate.
Coordinate staff events, conferences, travel, and team credit card reconciliations.
Support scheme launches by preparing materials and assisting with logistics.
Manage invoice approvals, purchase orders, and Business Central daily reminders.
Liaise with internal and external stakeholders to gather necessary information.
Maintain records, prepare reports, and assist in delivering in-house projects.
Welcome guests, arrange meeting refreshments, and support facilities coordination.
Maintain digital filing systems and directories for external stakeholder contacts.
Train new administrative team members and support leadership with various duties.
Foster a customer-centric culture, handle ambiguity, and promote continuous learning

Essential Skills & Qualifications:
Qualifications & Experience: Degree/Diploma in a relevant field with 2+ years’ experience in a similar role.
Technical & Administrative Skills: Proficient in document management, data entry, Excel, and internal systems.
Attention to Detail & Problem-Solving: Strong ability to cross-check information, ensure accuracy, and resolve issues effectively.
Communication & Stakeholder Management: Excellent verbal and written communication, including report writing and engaging with internal/external stakeholders.
Industry Knowledge: Experience in property acquisition, construction processes, or property management.
