The Role / LocationWe wish to recruit an exceptional individual as a Team Administrator to support our Facilities Management (FM) department, based in our Head Office at 33 Molesworth Street, Dublin 2.The team administrator must be proactive and capable of working on their own initiative as well as providing administrative support to the FM team.
This role requires full daily support of secretarial and administrative duties, diary management and organisation within the department.Key ResponsibilitiesOrganise facilities related documents, including contracts and maintenance records.Prepare reports and templates for the FM departmentAttend monthly Management meetings – taking accurate minutesProvide administration support to the properties and staff across the managed portfolioFormatting emails, letters and reportsTracking and maintaining filesRecord keeping & keeping all files tracked and updated on a regular basisSupport the team in the ongoing development and implementation of policies and proceduresAssist with inputting/updating property information on our CRM and CAFM systemsProactive diary management, alongside timely optimised travel arrangements Assist with FM department invoicingAssist the team with tracking maintenance tasks across the portfolio Assist the team with any additional administration duties as they ariseSkills, Knowledge and ExperiencePrevious experience in a customer facing roleAbility to prioritise with good problem solving and decision-making skillsStrong communication and interpersonal skillsMust have excellent IT skills and software experienceExperience in working on multiple projects simultaneouslyHave strong self-management, organisation and administration skillsHigh attention to detailStrong team working skillsPrevious experience in a concierge role or the hospitality industry would be desirable.Savills Ireland is an equal opportunity employer.Savills aims to attract, recruit and retain the best people from the widest possible pool of talent.
