An experienced Executive Assistant is required for a part-time role at a third-level institution in North Dublin. This position has the potential to transition into a full-time opportunity. Candidates should be ready to start immediately. Duties and Responsibilities The duties and responsibilities of the position include, but are not restricted to, the following: Manage the Institute Directors diary, and scheduling meetings effectively across several time zones. Assist Institute Directors in managing their daily research coordination tasks and support event planning and conference/research & training seminar/workshop & open day events. Support the assembly of research grant applications and delivery Management of interactions with 3rd level administrative structures & representatives (e.g. Finance, IT, Fees Office, Catering, Estates, Communications). Compose sensitive emails, letters, reports, presentations, and other required documentation Support critical front of house management activities for the Institute i.e. welcome visitors, support new staff & student on boarding activities & management of social media strategy. Answer and screen phone calls, emails and messages, and handle information requests. Arranging travel for Institute Directors and Managers including flights, accommodation, and visas. Minute taking at meetings and ensuring the Institute Directors are fully prepared for meetings. Qualifications and Experience Leaving Certificate or equivalent (NFQ Level 5) plus 5 years relevant experience, preferably as a PA or a Primary Degree or equivalent (NFQ Level 7) plus 2 years relevant experience preferably as a PA. Proficient in Microsoft Office suite. Some familiarity with national and EU grant systems. Strong interpersonal skills. Understanding of the importance of confidentiality.
