We are looking for a highly organised and proactive Executive Assistant (EA) to the CEO to play a crucial role in ensuring smooth operations and empowering our senior leadership.
This person should be a proactive problem solver with exceptional communication skills, meticulous attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
About the Role As the Executive Assistant, you will be the right-hand person to the CEO, ensuring their time is optimised and their daily responsibilities are managed effectively.
This includes scheduling meetings, handling correspondence, coordinating travel, and assisting with key business projects.
Additionally, you will provide administrative support to the executive team and assist the finance team with basic tasks.
Given the dynamic nature of the role, flexibility, confidentiality, and adaptability are key.
Key Responsibilities Support the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished efficiently.
Maintain and refine internal processes that support managers companywide and coordinate internal and external resources to expedite workflows.
Plan and orchestrate work to ensure senior manager priorities are met, organisational goals are achieved, and best practices are upheld.
Manage professional and personal scheduling for the CEO, including agendas, Teams meetings, mail, email, phone calls, client management, and company logistics.
Coordinate complex scheduling and calendar management, as well as content and flow of information to senior managers.
Handle confidential documents and communications with discretion and professionalism.
Prepare reports, presentations, and correspondence on behalf of the CEO.
Support in organising board meetings, taking minutes, and following up on action points.
Assist with key business projects, ensuring deadlines and deliverables are met.
Conduct research and compile information to support decision-making.
Manage senior executives' travel logistics, including accommodations, transportation, and meals.
Provide administrative and office support, such as document management, typing, spreadsheet creation, and maintaining filing systems.
Organise team communications and plan events, both internal and off-site.
Assist the finance team with basic administrative tasks, such as data entry and invoice processing.
Proactively identify ways to improve efficiency and streamline processes.
What We're Looking For Experience & Skills: At least two years of experience in an administrative role reporting directly to senior management.
Exceptional Organisational Abilities: Ability to juggle multiple tasks and prioritise effectively in a fast-paced environment.
Strong Communication Skills: Excellent verbal and written communication skills with the ability to liaise at all levels.
Tech-Savvy: Proficiency in Microsoft Office Suite, calendar management tools, and online collaboration platforms.
Discretion & Confidentiality: Handling sensitive business information with absolute professionalism.
Proactive & Solutions-Focused: Ability to anticipate needs and take initiative to support the CEO effectively.
Basic Finance Administration Experience: Comfortable supporting the finance team with simple tasks, invoicing, credit control etc.
(no formal finance qualifications required as training will be given.).
Adaptability & Resilience: A flexible team player who is willing to adapt to changes and unafraid of challenges.
Ability to Maintain Confidentiality: Discretion in handling company and employee-related information.
Preferred Skills & Qualifications Experience in overseeing budgets and expenses.
Experience in developing internal processes and filing systems.
