Objective of the post: We are looking for a highly motivated individual for the role of faculty coordinator in our Student, Academic and Regulatory Affairs team based at St Lukes General Hospital Kikenny. The successful candidate will help coordinate the local teaching schedule, provide administrative support and manage queries for students and staff within the hospital. In order to provide effective and efficient services it is expected that the successful candidate be flexible in terms of hours of work. Specifically the duties of the post will include: Provide end to end administrative support for staff of the hospital who participate in the teaching programmes. Provide end to end administrative support for students on rotation in the hospital to ensure the core teaching programmes are successfully implemented. Ensure student and staff queries are handled politely, accurately and in a timely manner, and that agreed service levels are achieved. Provide administrative support to RCSI honorary and academic staff to enable high quality teaching and learning. Provide administrative support that enables the successful delivery of all forms of examinations, courses, educational meetings and prize nights. Provide induction information for each group of students as they commence in the hospital on clinical placement. Ensure that the students are made aware of and are compliant with hospital policies and procedures. Assist in the set-up for tutorials and educational seminars within the hospital. Assist in the updating and maintenance of records. Develop strong working relationships with students and internal stakeholders. Ensure accuracy and consistency of all administrative process. Organise timetabling and scheduling of teaching at St Lukes General Hospital Kilkenny. Liaise with hospital consultants and NCHDs to ensure students integration into clinical teams in the hospital Organise the attendance of students at learning and assessment activities. Organise the notification, preparation and selection process for student research attachments and electives as required. Assist students during their research attachments in the hospital. Liaise with the Student Academic & Regulatory Affairs (SARA) department in the co-ordinating of the teaching schedule, examinations and continuous assessment. Liaise with the SARA Office in the recruitment of examiners. Organise and attend meetings as requested by the Undergraduate Dean or nominee. Arrange Departmental Teaching meetings. Attend training and development courses as may be required from time to time. Represent the best interests of St Lukes General Hospital Kilkenny and RCSI at all times. Perform such other duties as may be required. Be flexible and responsive to the needs of staff and students. Person Specification: The successful candidate will be able to demonstrate the following: Capable of archiving and maintaining teaching materials and equipment for continued use. Very Strong IT skills especially MS Office: Excel PowerPoint, access, and E-Learning systems, with previous experience on Moodle an advantage An effective communication style appropriate to audience and situation. Ability to make decisions and meet deadlines. Flexibility to work irregular hours on a regular basis. Experience and a proven track record working in an academic administrative environment would be an advantage.
