Executive Assistant Opportunity
A dynamic and growing engineering company in Galway is seeking an experienced Executive Assistant to provide high-level administrative support to senior management teams. This is a unique chance to join a multinational environment and contribute to the success of the company.
Key Responsibilities:
* Provide direct administrative support as needed, including scheduling appointments, meetings, and events, monitoring staff calendars, booking travel, maintaining physical and digital filing systems, mailing and shipping letters and packages, updating company databases, administering company management systems, and other tasks as directed.
* Oversee the day-to-day activities of the office and ensure that all administrative systems are working smoothly.
* Respond to requests and questions from visitors and staff.
* Lead event management and logistics for meetings, workshops, trade fair conferences, etc., including liaising with event organizers and outsourced marketing providers.
* Assist with human resources, inventories, certification activities, planning and scheduling, data entry and analysis, data management and filing, data protection, marketing, event planning, staff trips, and general compliance matters.
* Maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors, and coordinate deliveries as required.
Requirements:
* A minimum of 5 years of experience in an Executive Assistant/Office Management role preferred.
* Level 7 or 8 degree in a relevant subject area/or professional qualification and/or relevant experience in a relative discipline (construction, accountancy, etc.).
* Experience of team working, including in cross-functional teams.
* Experience of dealing with confidential matters and exercising discretion and good judgment while working with sensitive and confidential documentation.
* Experience using QuickBooks financial management platform (or other similar platform).
* Proven event management and organizational skills.
* Ability to meet tight deadlines in a busy environment.
* Demonstrated critical thinking skills and good with numbers and arithmetic.
* Understanding of company governance structures.
* Proven IT skills.
* Evidence of use of and proficiency in Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, etc.
* Project management skills, including the timely delivery of tasks and projects.
