Unijobs on behalf our public sector client BIM (Bord Iascaigh Mhara) is seeking an Administrator.
This position is a hybrid position located in Dun Laoghaire, Co. Dublin.
(3 days from home once fully trained on systems and tools).
Working 35 hours per week, the successful candidate will be employed as an agency employee.
The salary on offer for this role is €36,544.
You will accrue 23 annual leave days per annum and will also be paid for bank holidays.
This is a temporary position, initially the contract will be for 6 months with the possibility of extension thereafter.
Description of Role The role is to provide administrative support to the Skills and Education and Learning Development Unit across a range of activities which will enable the efficient and professional delivery of skills services, supporting the overall delivery of BIM strategic goals.
Over recent years these administrative requirements have grown to include enhanced document management processes, new online software and an increased focus on quality assurance systems.
In addition, the newly launched BIM /CRM training portal supports a range of booking, payment and certification supports to students, and is administered by colleges, CTU's and BIM Dun Laoghaire.
Job Profile Key Responsibilities and Main Duties/Tasks: Provide a high level of confidential administrative and support service using initiative, discretion and good organisation skills to assist the Skills and Education and Learning Development Unitand head office team.
To support a range of projects to ensure the effective delivery and administering of the BIM Skills Strategy.
Weekly / fortnightly printing of training cards using in house equipment and software, and correspondence with learners.
Organise and maintain files to enable efficient access to material.
Support arrangements for group meetings or unit training events workshops, both internally and externally.
Exhibit excellent IT skills to deal with sensitive material which calls for absolute discretion and confidentiality on any part.
Maintain all files relating to internal and external meetings and correspondence, official documentation.
Process payments using the internal BIM finance system NAV and supporting effective procurement and budgeting.
Administrative support in maintenance and development of the Quality Management System ISO 9001 and ISO 14001.
Quality Assurance administrative support to include: QA documentation maintenance and updating.
Compiling reports on learner feedback and other KPI's for Quality review meetings.
Organise and collate data from post-training learner feedback surveys.
Support the preparation of documentation for programme validation/re-validation.
Administrative support (including preparation of agenda, correspondence with participants, minute taking) associated with the following panels: Results Approval Panel .
Programme Approval Panel.
Training and Development Committee.
Academic Council.
Programme Boards.
