We are looking for a highly motivated individual for the role of faculty coordinator in our CoMPPAS team. The successful candidate will work closely in partnership with the wider CoMPPAS team, provide and co-ordinate centralised and specific team administrative support as required and manage queries for students and academic staff. Specifically, the duties of the post are: Co-ordinate and provide end to end centralized administrative support to the CoMPPAS unit and its associated activities, including financial payments, invoicing, payment requisitions, ordering, and assignment of costs to agreed activity cost centres within CoMPPAS Provide general administrative support to team members for specific identified activities, including careers, or assigned tasks to enable the delivery of an outstanding service experience for students. Ensure student queries are handled accurately and in a timely manner, referred to appropriate team members for further action and that agreed service levels are achieved. Respond to queries and deal with these in a professional and courteous manner. Assist in the annual planning and co-ordination of CoMPPAS team related, activities, events and initiatives Assist in the operational management, administration and delivery of CoMPPAS programmes such as The International Citizenship Award programme, and medical licensing preparation support Coordinate and oversee the administration of the RCSI CoMPPAS student orientation programme, including scheduling the timetable and preparing presentations. Manage assigned service email inboxes, unit communications and social media accounts as required Responsible for updating and maintaining student records as appropriate in accordance with regulations and/or reporting requirements for different CoMPPAS service activities. Organise and deliver annual student surveys related to specific data needs and/or feedback for services Co-ordinate the collection, collation and analysis of agreed data sets and service metrics and prepare reports as required Develop strong working relationships with the CoMPPAS team, the wider SARA department, students and internal stakeholders Prepare, update and review annually SOPs related to all CoMPPAS administrative activities and service processes Ensure accuracy and consistency of all administrative processes ? Be flexible and responsive to the needs of staff and students. Representing the best interests of RCSI/CoMPPAS at all times Undergoing programmes of training and development as may be required from time to time Performing such other duties as may be requested from time to time by the Head of Student Development & Wellbeing. What you bring to this role: Highest levels of accuracy and attention to detail; Excellent interpersonal skills; Excellent organisational, analytical and problem-solving skills; Excellent IT skills, including a high level of proficiency in Excel; ? Experience in data-entry with strong attention to detail; ? Excellent communication skills (written and oral). Experience of using a student records and finance system would be advantageous; Proven ability to demonstrate own initiative; A proven track record of solving day to day staff and student issues by quickly identifying possible corrective measures and recommending or selecting the best solution; ? Ability to build and sustain internal and external networks and partnerships. Particulars of the Post: This is a maternity cover position From time to time, the post holder may be required to work some additional hours, to carry out the duties associated with the post, and including occasional weekend working during busy periods.
