Job Description:
The School Secretary will play an integral role in the school community, ensuring the smooth operation of administrative tasks while maintaining a welcoming and discreet approach.
Key Responsibilities:
* Administrative Duties:
o General secretarial and office management tasks.
o Handling correspondence (emails, phone calls, letters) with confidentiality and professionalism.
o Maintaining school databases, including OLCS and POD.
o Filing and managing documentation, including staff leave records.
o Coordinating billing information and liaising with the school accountant and treasurer.
* Office & Resource Management:
o Organising and maintaining office supplies.
o Operating office equipment (e.g., photocopier, laminator).
o Coordinating internal communications, including post and telephone messages.
o Liaising with suppliers, service providers, and visitors.
* School Support Duties:
o Welcoming and assisting parents, staff, pupils, and visitors in a professional manner.
o Organising transport and logistics for school trips, meetings, and interviews.
o Supporting school staff and working closely with the principal.
o Ensuring compliance with school policies, particularly regarding child safeguarding, GDPR, and health & safety.
Required Skills & Experience:
* Strong interpersonal and communication skills (both written and verbal).
* Excellent IT and typing skills.
* Highly organised, with strong attention to detail and the ability to manage multiple tasks efficiently.
* Ability to work independently, take initiative, and meet deadlines.
* Experience handling confidential information with discretion and professionalism.
* Familiarity with school administration systems (OLCS, POD) is an advantage.
Additional Requirements:
* The appointment is subject to Garda Vetting.
* The successful candidate must undertake TUSLA Child Protection Training and other relevant online training.
* Six-month probationary period applies.
* Induction training will be provided.
