Responsibilities
* General administrative duties:
o Prepare for Tier meetings (overview of safety moments, holiday tracker, dashboards, etc.)
o Update and maintain org charts for all CQV partners
o Maintain email circulation groups
o Coordinate site visitor appointments, vendors, etc.
o Collate information for newsletters
o Prepare storyboards
o Manage holiday trackers
o Evaluate office supplies as required
* Supporting Resources / New Starters:
o Organize interviews and assist candidates on-site
o Organize safety inductions and onboarding for all members of the Commissioning, Validation & Qualification (CQV) team
o Set up printer access and CAR passes
o Organize and manage training curriculum
o Assist with arranging hotel accommodations for team members relocating to Limerick for execution phase of the project
o Support new starts with IT issues
* Safety duties:
o Document attendance records at safety toolbox talks, etc.
o Track Safepass and ensure all members have a valid safepass
o Ensure everyone working in the CQV team reads and understands and signs off on Health & Safety plan
o Track hours expended by the team on-site and submit weekly reports
o Share all safety communications with CQV teams
* Doc Control Duties:
o Control FAT (Factory Acceptance Test) documentation
o Project filing, scanning, etc.
o Support vendors where required for scanning and filing of documentation
Qualifications
* A minimum of three years in a professional office environment with a background in administration
* Excellent communication and interpersonal skills
* Friendly, positive, and flexible attitude to work
* Excellent ability to work on own initiative
* Strong multi-tasking and prioritization skills
* Excellent computer skills (Word, Excel, PowerPoint, Visio)
* Knowledge of SAP would be an advantage
