Reporting to: Managing Director
Location: Ballymount, Dublin, Ireland

The Role
* Office Organisation: Managing administration tasks including software, supplies, and equipment to ensure efficient workflow.
* Managing Director Support: Provide support to the Managing Director including meeting preparation, travel arrangement, internal project assistance, research, and general tasks.
* Department Support: Providing individual department support to line managers to ensure efficient running of each department including system management, client documentation, report preparation, and technical team planning.
* Administrative Support: Providing administrative assistance to staff and executives, including scheduling meetings and managing calendars.
* Human Resources: Assisting department managers with hiring processes, onboarding new employees, and maintaining employee records.
* Communication: Serving as a point of contact for internal and external communications, including handling correspondence and phone calls.
* Customer Service: Working with department managers, addressing customer complaints and concerns, working to resolve issues effectively and maintain customer satisfaction.
* Partner Management: Coordinating with partners, suppliers, and service providers to ensure products and services are delivered to the highest customer expectations.
* Policy Implementation: Developing and enforcing company policies and procedures to ensure compliance and efficiency.
* Event Planning: Organising company events, exhibitions, meetings, and team-building activities.
* Problem Solving: Addressing any issues that arise within the office, such as conflicts or operational challenges.
Expertise
* Strong office administration experience is required.
* Proficiency in Google Workspace or Office 365 Suite.
* Strong IT skills.
* Previous experience with business packages such as ERP or accounts software.
Person
* Highly organised with excellent attention to detail.
* Flexible and adaptable to changing priorities and tasks.
* Disciplined and able to work independently.
* Self-motivated and proactive in taking initiative.
* Excellent communication and interpersonal skills.
Education & Experience
* A minimum of 3 years experience as an office administrator or in business support, preferably within an SME environment, working with a small team.
* Proficient in the Google Workspace or Office 365 suite.
* Previous work in business packages such as ERP, accounts, etc.
