Unijobs on behalf of our public sector client have a requirement for a suitably skilled Administrator. This position is mostly WFH with the requirement to attend the office in Dublin 8 approx. 2 days per month (additional days may be required based on operational needs). The successful candidate will be employed as an agency employee working 35 hours per week. This position is also a temporary contract, initially for 12 months with the possibility of being extended. The salary on offer for this position is €34,256, this works out as €18.76 per hour. You will also accrue 30 days annual leave per annum and be paid bank holidays. Overview of the role: The successful candidate should be proficient in creating and formatting Word documents, Excel spreadsheets, and presentations, with strong skills in Microsoft Office and Outlook. The candidate should excel at prioritising tasks, adapting to change, and demonstrating initiative, as well as possessing strong numerical and problem-solving abilities, with some knowledge of the Purchase to Pay Process. The candidate should have effective data gathering from various sources to support reporting, along with excellent communication skills for engaging with internal and external stakeholders. Experience in managing mailboxes and scheduling is crucial for efficient diary management. This position demands strong teamwork capabilities, with the ability to work independently and assist team members under pressure. The candidate should recognize when to escalate issues to senior staff and be prepared to assist Senior Managers as needed. Adherence to all policies and procedures is essential. The role is hybrid, involving remote work with typically two office days per month, though additional days may be required based on operational needs Role & Responsibilities Administration Ensure the efficient day-to-day administration of your area of responsibility. Meet deadlines and maintain service levels consistently. Create and update records, databases, and IT systems with financial and other relevant data. Submit timely reports and present documents in a professional manner. Proficient in creating and formatting Word documents, Excel spreadsheets, and presentations, with strong computer skills, particularly in Microsoft Office and Outlook. Strong numerical and problem-solving abilities, with some knowledge of the Purchase to Pay Process. While experience with IFMS is advantageous, it is not essential. Communication and teamwork Excellent communication skills for engaging with both internal and external stakeholders. Strong teamwork skills, with the ability to work independently and collaboratively, contributing to a positive work environment and assisting team members under pressure. Ability to recognise when issues require escalation and take appropriate action to involve senior staff. Promote and maintain a customer focused environment including monitoring efficiency of service provided by the team and notifying supervisor of any deficiencies Ensure that service users are treated with dignity and respect Act on feedback from service users/customers and report same to supervisor Standards, policies, procedures & legislation Maintain own knowledge of relevant policies, procedures, guidelines and practices, to perform the role effectively and to ensure current work standards are met by own team Maintain own knowledge of relevant regulations and legislation e.g. Financial Regulations, Health & Safety Legislation, Employment Legislation, FOI Acts etc. Ensure consistent adherence to procedures within area of responsibility Have a working knowledge of the Health Information and Quality Authority (HIQA) Standards and other standards as they apply to the role for example, Standards for Healthcare, National Standards for the Prevention and Control of Healthcare Associated Infections, Hygiene Standards etc and comply with associated protocols for implementing and maintaining these standards Skills & Experience: Must have a minimum of 2 years' experience working in an office, HR or project support environment Having experience in the following applications would be an advantage and experience should be demonstrated: MS Office Suite SAP Finance/SAP HR or equivalent Demonstrate good problem solving, analytical and decision-making skills Demonstrate evidence of production of quality deliverables/Key Performance Indicators Demonstrate understanding of Irish Healthcare system Business Competencies: Excellent written and oral communication skills Excellent teamwork and interpersonal skills.
