If you have strong administration, organisational, analytical skills and attention to detail as well as experience in an engineering / technical environment, this could be the role for you. Knowledge and experience working in the Facilities Management Sector or similar would be a key advantage.
This is a multi-tasking role that sits in the Hard Services Facilities Management Department based in our client’s headquarters in Tallaght, Dublin 24. Reporting to the Senior Facilities Manager and supporting the wider regional team, you will take ownership for streamlining facilities management and asset management systems and processes and coordinate multiple projects and tasks. This is not an IT biased role. The successful applicant will need a full driving license as they may be required to drive one the company pool cars to one of the regional offices in Ireland from time to time.
Some insight to the role: The Facilities Department are responsible for the day-to-day maintenance and management of a large portfolio of retail properties around Ireland, as well as assets and merchandising equipment to ensure that they are maintained to the highest standard. There are software systems / data bases in place and running efficiently, your role will be to ensure that they are being utilised as they should be by the wider team. You will do this by;
Duties & Responsibilities
-Learn and get up to speed on systems by participating in training to ensure super user status
-Provide guidance to new users and the wider team when required
-Implement any minor changes as directed by the IT Department
-Analyse systems input by users, generate reports and flag any issues in need of attention e.g. maintenance management system, if first priority calls are sent to the maintenance engineers and they are not following up within specific deadlines or if a parts request is logged but not ordered from the supplier.
-By communicating with the maintenance team, ensure progress reports for work they have carried out are completed
-Ensure all faults are logged on the Asset Management System
Other duties
-Management of administration within the department, compiling presentations
-Compliance of processes - procedure guidelines updates and ARIS system key user
-Line management responsibilities managing the services centre and reception team
-Work collaboratively with stakeholder departments to deliver services and solutions
-Flexible and adaptable to respond to reasonable ad-hoc tasks as required
Requirements for Success in this role
·A good level of experience in a similar role
·Strong Administration and a proven ability in generating reports.
·Strong interpersonal skills, and excellent communication skills
·Strong problem-solving and innovative skills
·Ability to coordinate multiple projects and tasks to strict deadlines with meticulous attention to detail
·Highly motivated, flexible and results driven, dynamic, decisive with the ability to react to changing situations and execute quickly on own initiative
·Proficiency in Microsoft Word, PowerPoint, and Excel
·Confident Systems User – Maintenance Management System, Asset Management System, Work Progress, Flow Charts or similar
· Experience in an Engineering environment would be a clear advantage.
