This is a hybrid flexible position with the necessity to be onsite only 1-2 days per month.
Role Overview
The Executive Business Support Specialist plays a critical role in ensuring the smooth day-to-day operations supporting two Directors. The role involves high-level executive support, event planning, budget management, and operational coordination.
The ideal candidate will be highly organized, proactive, and able to thrive in a fast-paced, hybrid work environment. They should possess exceptional administrative skills, have experience with Microsoft tools, and be comfortable working with multiple stakeholders across various regions.
Key Responsibilities
1. Provide calendar management, travel coordination, and expense processing for two Directors.
2. Assist with meeting scheduling, preparation, and logistics, including compiling presentations and materials.
3. Manage confidential information with discretion and professionalism.
4. Plan and execute internal and external events, including customer, partner, and executive visits, team training sessions, and morale-boosting activities.
5. Coordinate event logistics, venue booking, catering, and IT setup to ensure seamless execution.
6. Manage budget reconciliation and purchasing for team-related expenses.
7. Oversee IT equipment distribution, inventory tracking, and office supplies management.
8. Act as the point of contact for general queries about our Dublin campus and internal processes.
9. Support the onboarding process for new hires, maintaining org charts, and email distribution lists.
Required Skills & Experience
1. Bachelor's degree or equivalent in experience.
2. Proven experience as an Executive Assistant (EA) or in a senior administrative support role.
3. Strong background in calendar management, travel planning, and budget tracking.
4. Experience using Microsoft tools (Outlook, Teams, Excel, PowerPoint, etc.).
5. Ability to work with remote and hybrid teams, providing seamless administrative support.
6. Exceptional organizational skills, with the ability to prioritize and multitask effectively.
7. Strong verbal and written communication skills.
8. Attention to detail and ability to maintain high standards of accuracy.
9. A proactive problem-solver with a can-do attitude who thrives in dynamic environments.
10. High level of confidentiality, professionalism, and discretion when handling sensitive information.
Desirable Skills & Experience
1. Background in event planning and project coordination is a plus.
2. Experience working within a large, multinational tech company is an advantage.
A valid full-time right to work in Ireland is required for this position.
