CBRE Global Workplace Solutions, leading global provider of integrated facilities and corporate real estate management, are recruiting a Project Coordinator to join the team located in Ballydine.
The Project Coordinator is an instrumental part of the project management organisation team and the role supports, organises and manages the various parts of a project to ensure its success. This includes assigning and monitoring daily tasks and communication, contractor health & Safety as well as creating reports and updates for the project manager and other members of management.
The project Coordinator supports the MCL role for all IFM projects in MSD Ballydine as per SP-05 Contractor management Procedure.
Purpose Of the Job
To provide a comprehensive and flexible support service to the Senior Project Manager, Head of Projects and CBRE Projects team and 3rd Party contractors for the safe and efficient management of project on the MSD Ballydine site.
Key Responsibilities
* Ensuring business policies and processes are effectively communicated and implemented within the Projects team and the general contracting team.
* Ensure the provision of Health and Safe working conditions and that both clients and company health and safety policy and process is effectively implemented across the Business Unit.
* Effectively manage project teams financial commitments, raising POs, billing and managing financial.
* Develop project review pack.
* Project Scope of Works (Support PMO in tender Preparation).
* Project Contractor Tender Walkdowns.
* Liaison with Professionals (Architects, QS, Civil Engineers, Services Engineers).
* Evaluation of Contractors and Tenders.
* Project P/O Requisitions.
* Eval PTOP Packs.
* Vee vault Quality Assessment.
* Enablon Project Review.
* Tender Packages.
* Management of all QHSE online reporting (to include Hazards, SmoWP, Audits).
* Daily Safety & Permit Audits.
* Complete Weekly / Monthly project SOR hazard Reporting.
* Weekly / Monthly Permit Review.
* SP-05 Contractor Management.
* Monthly Safety Numbers Reporting (HRW Permits and Working Hours).

* Provision of guidance, advice, coaching and support to all other Project Coordinators within the business, where required to deliver best practice selection, training, assessment and recognition/reward.
* Delivering effective business communication through advice, review, and direct contribution to management and team meetings, briefings, consultation forums, correspondence, publicity, monthly and ad-hoc reporting and other publications, as appropriate.
* Provide a learning environment, and appropriate training and development planning. Ensure basic training needs are delivered, employees are fully competent to undertake their roles, and are able to reach their full future potential whilst updating and managing training matrix.
* To assist with all sales opportunities for the Business Unit. Supporting the Sales Team throughout the sales process and tendering of new PMO Works to help support the site and PMO group Country budgets.
* Ensure the completion of all Pre-Qualifying Questionnaires for the Business Unit. Check all contractors and on Highwire before scheduling on site.
* Work with our Sub-contractors and Head of Projects to ensure the best price for all sales opportunities.
* Support of Mobilisation as and when required.
* Check the Training Requirements of Contractors.
* Attend and manage project Whiteboards, Tier meetings and PRO Tier 1.5.
* Review Contractor MSRA, PTW and HRW Permits.
* Escalation and Conflict Resolution in relation to coordination.
* MF-1548 Equipment Change Control & PTOP WI-20082 Test Packs.
* CE Certification.
* Eval – PTOP Closure.
* Pro-120 F-gas Compliance.
* Waste Compliance.
* Redlining of Documents.

Accountabilities
* Accountability to the Head of projects.
* Accountable for day-to-day management of Projects and support the Senior Project Manager in financial metrics and administration.
* Generate project opportunities by building strong effective working relationships with our customers and site teams.
* Accountable for management of all mandatory training of Projects team.
* Have full accountability and responsibility for the safe management and delivery of project works in line with business processes and procedures working alongside contract teams and client to generate pipeline sales and opportunities.
Person Specification
Education
* Leaving Cert education or above.
* Recognised technical qualification in Construction, Mechanical or Electrical or similar (desirable).
* Qualification in Project Management (desirable).
Training
* Incumbents must be able to demonstrate a career showing continuous personal development.
* Business standard of written and verbal literacy and numeracy.
* MS Word, Excel Teams.
* First Aid training (desirable).
* IOSH Managing Safely in Construction (desirable but not required).
* Project Supervisor Construction Stage (desirable but not required).
* Project Supervisor Design Stage (desirable but not required).
Education & Training Gaps will be closed where possible as part of a further education and development plan.
Experience
* Experience in administration or similar projects Supervisor / coordinator role (desirable).
* Proven project management experience in either an M&E, FM, construction or critical environment.
* Experience of developing new project opportunities.
* Proven experience of running a P&L.
* Demonstrable evidence of having managed a team.
* Experience of creating, presenting and managing on bids, tenders and proposals.
