Job Purpose:
The Logistics and Sales Support Coordinator is responsible for coordinating and managing the dispatch of goods and vehicles to ensure timely delivery and efficient utilization of resources. This role requires excellent communication, organizational, and problem-solving skills to maintain effective operations and provide exceptional service to customers.
Key Responsibilities:
Sales:
1. Receive phone, eCommerce, and OTT sales orders from customers and organize prompt delivery.
Coordinate Dispatch Activities:
1. Plan, schedule, and manage the dispatch of vehicles, goods, or personnel according to customer requests and operational requirements.
2. Assign drivers and vehicles to routes and shipments, ensuring optimal use of resources.
Monitor Deliveries:
1. Track the status of deliveries and update stakeholders on progress or delays.
2. Communicate with drivers and resolve any issues or delays that arise during transport.
Maintain Records:
1. Keep accurate records of dispatch activities, including delivery times, vehicle usage, driver hours, and other relevant information.
2. Prepare reports on dispatch performance, driver performance, fuel consumption, and other operational metrics.
Ensure Compliance:
1. Ensure that all dispatch operations comply with company policies, safety regulations, and legal requirements.
2. Conduct regular checks to ensure drivers are compliant, vehicles are properly maintained, and equipped with the necessary documentation.
Customer Service:
1. Serve as the primary point of contact for customer inquiries and complaints related to sales, dispatch, and delivery.
2. Resolve customer issues promptly and effectively to maintain a high level of customer satisfaction.
Collaborate with Team Members:
1. Work closely with other departments, such as production, accounts, and customer service, to coordinate dispatch operations.
2. Provide support to drivers and other logistics staff as needed.
Key Requirements:
Qualifications:
1. Leaving Cert or equivalent; a degree or diploma in logistics, supply chain management, or a related field is preferred.
Experience:
1. Minimum of 1 year of experience in a dispatch, logistics, or operations role.
2. Experience in the transportation or logistics industry is an advantage.
Skills and Competencies:
1. Communication: Strong verbal and written communication skills to interact effectively with drivers, customers, and internal teams.
2. Organizational Skills: Ability to manage multiple tasks and priorities in a fast-paced environment.
3. Problem-Solving: Capable of identifying and resolving dispatch-related issues quickly and effectively.
4. Technical Proficiency: Familiarity with dispatch management software, GPS systems, and other logistics tools.
5. Attention to Detail: High level of accuracy in record-keeping and reporting.
6. Customer Service Orientation: Strong focus on delivering exceptional service to customers.
7. Time Management: Excellent time management skills to ensure timely dispatch and delivery.
