Job Summary:
The Fleet Operations Supervisor will have overall accountability for the Obelisk transport Fleet and will be responsible for the supply, monitoring, maintenance & reporting of transport within the company. The role will be supported by the Service Delivery Manager to ensure that transport is managed effectively and in line with business strategy.
Key Tasks and Responsibilities:
Fleet Operations Supervisor
* The role involves administration, reporting and the ability to analyze data so high-level reporting can be achieved.
* Be the main point of contact for all transport related matters.
* Deal with drivers queries NCT / CVRT dates, Tax due dates, breakdowns, accidents, vehicle damage, parking fines & speeding penalties, to include follow up investigation interviews and agree consequence management outcome with HR.
* Implement and operate fleet software system.
* Support the Managers with the ongoing development and implementation of an effective, efficient, and cost competitive fleet function.
* Maintain a working environment in line with Road Transport, Health & Safety, legislation and ensure that employees are trained accordingly.
* Responsible and accountable for the day-to-day management of the Obelisk Fleet.
* To ensure all work within the team is undertaken in compliance with legislation, industry standards, customs compliance regulations and company policies.
* Review and maintain the company fleet policy to ensure it reflects the strategic plan along with the company Missions, Vision, and Values.
* Introduce a program of change from current diesel vehicles to Hybrid / Fully Electric that meets the business requirements to drive sustainability across the fleet. Investigate option of introducing HVO or other sustainable fuels into the business
* Identify procedural gaps and improvements and implement process change to close and reduce risk to the business.
* Procurement of vehicles and set up partnerships with contract leasing companies to obtain maximum benefits, at best price.
* Liaise with fuel companies for rebate and fuel consumptions monthly.
* Onsite presence and signoff for the delivery of new vehicles and return vehicles
* Bring efficiencies around CRVT scheduling and vehicle issues to reduce business impact.
Operator’s License
* Ensure that Obelisk Vehicle Operators license is valid and compliant with RSA / Minister of Transport Requirements
* Manage and undertake 6 weekly inspections of all vehicles assigned to the “O” License
* Ensure tachographs are fitted to vehicles requiring them and ensure that they are fully operational and calibrated.
* Maintain a system for recording, storing and archiving tachograph discs securely but available of inspection when required.
* Monitor and manage assigned vehicles to ensure that the Obelisk “O” license is not put at risk or can be revoked.
Weekly Reporting
* Keep Vehicle Master Tracker up to date.
* Weekly speeding reports
* Weekly weekend travel reports
* Weekly vehicle tracking reports for van and diesel card match up.
* Diesel invoice weekly to check core sites been used and non-usage of prem diesel.
* Vehicle audit emails sent out twice a week.
* All CVRT and tax discs that come in uploaded onto work management system and master tracker and posted out to drivers.
* Monitor CVRT are being done ad tax discs get out on time for drivers.
* Arrange quarterly reviews for mileage tracking with contract hire company.
* Procurement of vehicles and set up partnerships with contract hire companies.
* Liaise with fuel companies for rebate and fuel consumptions weekly.
* Procurement of EV and charging units and demos
* Ensure all temp/new vehicles are on insurance MID/NFD
* Monitor weekly driving score.
* Complete onsite weekly vehicle audits
Monthly Reports
* Diesel UK and IRL, parking tag, toll tag, fuel cards internal work management system
* Monthly Fuel & Litre report
* Monthly speeding
* Monthly parking tag
* Monthly vehicle running costs to be uploaded to work management system
* All reports uploaded in teams.
Skills & Experience Required:
* The Fleet Operations Supervisor will be customer and service focused with excellent knowledge of Road Transport Legislation.
* Have an accredited Certificate of Professional Competence certified by the dept of transport.
* Manage and conduct work activities in such a way as to promote, proactively engage and ensure the safety, health, and welfare at work of all employees.
* The role involves administration, reporting and the ability to analyse data so a high level of computer literacy is essential coupled with excellent organisational and problem-solving skills.
* Strong administrative experience
* Good MS Office skills and good working knowledge of all Microsoft Office packages
* The ability to produce, manipulate accurate and timely reports.
* Excellent organisational skills

* Ability to build and maintain effective relationships with staff, management, and external companies
