Overall Purpose of the Job
The appointed HSEQ Coordinator will be responsible for providing administrative support to the team and be the first point of contact for any internal and external requests. The role will report directly to the HSEQ Manager. The appointed HSEQ Coordinator will carry out a number of tasks with excellent customer service along with a proactive work ethic in order to ensure the administrative function is professional, queries are efficiently resolved and deadlines are met.
Main duties and responsibilities
1. Be the first point of contact for all requests by telephone or email and direct these requests to the appropriate individual, ensuring a consistent and courteous approach is provided at all times.
2. Administer all user requests, seeking management approval where necessary and appropriate.
3. Produce and collate reports in an accurate and timely manner as required.
4. Establish and maintain excellent relationships with the relevant internal and external stakeholders.
5. Coordinate incident investigations and records as required.
6. Coordinate events, meetings and conference calls including arranging meeting rooms, refreshments and any handouts required.
7. Provide project administration; update project plans, communicate updates from the Project Manager to the Project Team and arrange meetings.
8. Maintain accurate and up to date records of all necessary information, referring to and sending to managers on request.
9. Raise purchase orders and process invoices using NAV.
10. Contact and liaise with suppliers or sub-contractors to ensure the smooth progression of works and payment on invoices.
11. Assist with the tracking of the audit programme and remedial actions as required.
12. Coordinate chemical risk assessments and records.
13. Support contractor/supplier assessments.
14. May be required to occasionally deputise for the HSEQ Advisor and therefore must be comfortable operating at a senior level.
Qualifications and Experience
15. Formal qualification or a willingness to pursue a qualification in HSEQ or similar
16. Experience of providing administrative support to a team
17. Experience of delivering customer service by telephone and email
18. Knowledge of operating standard office equipment
19. Manual Handling Instructor
20. DSE Assessor
21. Trained First Aid Responder
22. Experience of Risk Assessments and audits.
23. Full Clean Driving Licence.
